The position
As an Office Coordinator at Novo Nordisk, you will:
-Coordinate WarsawHub office activities and operations to secure efficiency and compliance with company policies.
-Work closely with the main reception and Polish Affiliate.
-Ensure a good image of WarsawHub office and welcome visitors.
-Manage office supplies inventory and place ord
-ers as necessary.
-Oversee general office maintenance and ensure a clean and organised workspace.
-Serve as the main point of contact for office-related inquiries and requests.
-Organise and schedule meetings and appointments.
-Support with organising company events (team gatherings and other initiatives).
-Coordinating office-lunch organisations for special events / internal meetings held by WarsawHub colleagues
-Support P&O with onboarding new employees.
-Support P&O with ensuring all HR documentation is in place.
-Track local relocation/mobility agency operations, ensuring information exchange and vendor management
-Manage and update company databases and documentation systems.
-Address employees’ and visitors’ queries regarding office management issues.
-Assist in the preparation of regular reports and presentations.
-Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner.
Qualifications
We are looking for a candidate who can bring the following to our team:
Need to have:
-Proven experience as an Office Coordinator, Office Administrator, or similar role.
-Excellent organisational and time-management skills.
-Strong communication and interpersonal abilities.
-Proficiency in MS Office (MS Excel and MS Outlook, in particular).
-Attention to detail and problem-solving skills.
-Ability to multitask and prioritize tasks effectively.
-Interest to develop in the HR area.
-Fluent spoken and written English.
Nice to have:
-Experience in a multinational company.
-Knowledge of office management procedures and basic accounting principles.
