Position Overview – Warehouse Coordinator

Process paperwork and coordinate transportation and deliveries for outgoing shipments daily. Complete administrative tasks as assigned. This position reports into the Warehouse Manager or Warehouse Supervisor subject to region.

Key Job Responsibilities

Fleet Management (subject to local warehouse structure)

  • Assist in monitoring daily routing to prioritize on-time delivery/pickup.

  • Perform frequent reviews on delivery/pickup services and monitor on-time performance.

  • Monitor regular vehicle maintenance, condition, and operation for assigned location.

Order Processing & System Maintenance

  • Process Encore Configuration hotel equipment sales orders and schedule for shipment.

  • Create manual sales orders for equipment requests when needed.

  • Do the Right Thing – Close out orders shipped daily in our wms (warehouse management system) to generate packing lists and generate back orders.

  • Maintain customer orders and update any necessary information in our wms system per request.

  • Deliver World Class Service – Monitor incoming emails and respond in a timely manner to all inquiries.

  • Uphold and adhere to health and safety regulations and wear appropriate Personal Protective Equipment (PPE).

Transportation

  • Coordinate all operational requirements related to projects, including dispatch and return of equipment, ensuring overall quality control.

  • Coordinate all local transport requirements and workflow (e. scheduling, coordination, communication, administration) cost effectively.

  • Ensure that the subcontracted trucking companies meet all of the required company and legal standards, including but not limited to, license, insurance, health and safety, quality of services (reliability, dependability, presentation).

  • Organize and coordinate the delivery and collection of dry hires and sub-hired equipment.

  • Work closely with our logistics carriers to coordinate shipping CapEx orders to our hotel locations.

  • Process shipping paperwork for orders shipping daily.

  • Value People – Communicate delivery information via email with our hotel external customers.

  • Coordinate equipment recycling orders and pick-ups with our recycler and our hotel locations.

Administration

  • See the Bigger Picture – Research and assist with transportation claims for CapEx orders including providing Logistics Coordinator with necessary information and processing replacement equipment orders with our Procurement Team.

  • Process all administrative paperwork relating to warehouse consumables, in coordination with the Warehouse Manager.

  • Administer proper invoicing procedures relating to truck booking, vehicle repairs, warehouse crew, and others.

Job Requirements

  • Minimum 2 years’ experience working in a fast paced, multi-tasking warehouse distribution office environment with a demonstrated high degree of accuracy and attention to detail.

  • Experience in a warehouse logistic or planning environment (or dispatch team) would be beneficial.

  • Demonstrated ability to work in a high-volume environment while being able to think creatively and effectively solve problems.

  • Proficient in Windows and Microsoft Office applications with an emphasis on Excel.

  • Excellent written and verbal communication, interpersonal and customer service skills

  • High degree of commitment to service excellence

  • Forklift license would be preferable (but not required)
