Job Description

The Warehouse and Facilities Coordinator is responsible for leading all aspects of the daily operations of the warehouse and ensuring the smooth functioning of the facilities. This role involves managing communications, coordinating deliveries, handling shipments, maintaining safety standards, and performing routine maintenance tasks. The position requires a proactive individual capable of multitasking and collaborating with various departments to ensure operational efficiency and compliance.

Responsibilities and Tasks:

  • Monitor and reply to all incoming email enquiries from the group mailbox.

  • Coordinate and book incoming deliveries.

  • Prepare and organise pallets for dispatch.

  • Sort and distribute post to site employees.

  • Organise domestic and international shipments, and hazardous goods, ensuring compliance with customs regulations.

  • Create and manage Purchase Orders in SAP and Coupa.

  • Handle returns efficiently.

  • Perform warehouse manual handling and operate forklifts as required.

  • Assist in inventory management, including stock counts

  • Conduct regular audits of warehouse safety and cleanliness.

  • Cover for store manager absence, ensuring all warehouse responsibilities are met.

  • Ensure timely replenishment of warehouse supplies.

  • Maintain an organised and clean warehouse layout.

  • Ensure all safety protocols and procedures are followed.

  • Perform routine safety inspections and equipment checks.(forklift, pallet wrapping)

  • Work closely with the sales and customer service teams to meet customer expectations.

  • Maintain relationships with suppliers and vendors.

  • Ensure timely and accurate delivery of supplies and materials.

  • Identify areas for improvement and implement corrective actions.

  • Change gas cylinders safely and in accordance with safety protocols.

  • Act as a key holder and emergency contact person.

  • Conduct weekly site inspections to ensure compliance with safety and operational standards.

  • Order uniforms for all employees.

  • Manage cable management, undertake PAT to ensure a tidy and safe work environment.

  • Serve as Fire Warden, conducting regular fire drills

  • Perform facilities duties including weekly fire alarm testing, small maintenance jobs around the site, waste management, fire warden, regular site checks and inspection of site equipment’s, jet wash emergency evacuation routes, parking lots, and walkways.

  • Maintain housekeeping standards on the mezzanine floor.

  • Maintain detailed records of maintenance activities, repairs, and inspections.

  • Cover reception duties during mornings and lunch breaks when needed

  • Assist in coordinating site events and meetings.

  • Maintain and update facility-related documentation and records.
