Job Title: Tender and Sales Administration Specialist

Position Overview:

In this role, you will be responsible for preparing and managing administrative documents and contracts related to tenders for the acquisition of goods and services with both public and private entities. You will oversee the supplier register, maintain the tender archive, and collaborate with cross-functional teams to manage key databases and documents. Additionally, you will support the preparation of marketing event contracts and coordinate demonstrations with national entities.

Location: Italy – remote

What you will do:

  • Prepare administrative documents for tenders for the acquisition of goods and services, expressions of interest, other acquisition procedures with the Public Administration, purchasing procedures with private entities, including other internal authorizations for tender procedures.

  • Manage contracts to be prepared following the assignment of tenders, and send documents for the execution of tenders, along with other procedures for the acquisition of goods and services.

  • Manage access to the supplier register, maintain the tender archive, and oversee other procedures and platforms for the acquisition of goods and services.

  • Collaborate with other designated functions to prepare and maintain a European Database containing essential information and documents for the execution of tenders (e.g., registrations with ministries of health, Declarations of Conformity, Manuals, Data Sheets, and other necessary documents).

  • Prepare documentation to request and carry out demonstrations on the national territory at public or private entities.

  • Support the preparation of contracts for Marketing events (e.g., Congresses, Seminars, Workshops).

Qualifications & Skills:

Minimum Requirements:

  • Must belong to a protected category under Law 68/1999.

  • Law degree (3 or 5 years) or a strong background in administrative or legal fields.

  • At least three years of experience in similar roles, ideally within multinational companies in the healthcare sector.

  • Fluent in Italian.

  • Full proficiency in both written and spoken English.

Preferred Requirements:

  • Availability to travel occasionally within the national territory, and outside for meetings, competitions, customer meetings;

  • A valid B driving license
