This includes all administrative tasks from tender announcement until tender contract expiration, guiding and assisting the business in setting up all types of contracts and creating/maintaining regular offers.
You aim to be the administrative gatekeeper of all tenders, contracts and offers. You will be in contact/collaboration with other departments such as finance, legal, regulatory affairs, customer service, etc. You will ill contribute to and implement ongoing process improvements in the Pricing, Contracting and Tender team.Responsibilities may include the following and other duties may be assigned:
Tenders (public procurement)
- Daily screening of published tenders and informing the concerned sales departments of the relevant ones.
- Coordinating each tender of your region, from kick-off meeting to submission. This means ensuring that all documentation is collected on time and keeping an eye on deadlines in such a way that the submission can be done on time. Get in contact with other departments such as finance, legal, customer service, etc. if the tender requires special requests and give feedback to the tender team.
- Once the tender is awarded or not, you ensure the administrative follow-up. Specifically, this means: Sending additional documents, needed to close the file, to the customer, ensuring that the prices offered are entered into our system, registering useful information related to the tender in our systems, etc.
- Monitor yearly price increase possibility and support internal customers with tender-related questions, update/statistics on tenders in your region and inform the sales teams
- Guide and advise the sales teams in choosing the appropriate contract type.
- Actively participate in the contract discussions for your customers and ensure all the necessary steps are followed to create the contract.
- Prepare the contracts based on the contract templates and ensure conditions and prices are approved before forwarding them to the customer for signature.
- Monitor the status of contracts and follow up on it with the sales teams (e.g., signed or not by customer, prolongation needed, cancellation, etc.).
- Ensuring that quotations put into Vendavo by the sales teams follow agreements and procedures.
- Deliver the approved quotations to the sales teams.
Required Knowledge and Experience:
- 3 years of experience working with tender, contracts, procurement or similar
- Fluent in both Dutch, written & verbal. Good level of English
- Contract management skills, collaboration, organizational & coordinating skills
- Detail-oriented, rigorous and the ability to communicate across all levels of the organization and with external customers
- Time management, workload management & prioritization
- Self-motivated and able to work with a minimum of supervision
- Team player with a positive attitude
