The Business Support Services Team Leader – Poland is responsible for the effective leadership and operational management of business support functions in Poland. This position plays a critical role in driving Maersk’s strategic objectives by ensuring seamless support services, while upholding Maersk’s core values in daily operations and leadership. The role also contributes to broader goals such as process integration, operational harmonization, and alignment across Maersk’s multi-brand, multi-site structure.Key ResponsibilitiesLeadership and Operational Management

  • Team Leadership: Lead and manage the local Business Support Services team, fostering collaboration, accountability, and a positive work environment. Provide guidance and support to ensure the team’s alignment with the broader NEC strategy and Maersk’s values.
  • Business Control: Oversee all business support processes in Poland, ensuring they align with Maersk standards and support the NEC Business Support Services strategy. Lead efforts to continuously improve operational efficiency while maintaining a high standard of service.
  • Car Fleet & Pool Car Management: Oversee the management of the company’s fleet of vehicles, ensuring proper usage, maintenance, and regulatory compliance.
  • Financial & Administrative Oversight: Manage local financial administrative tasks, including travel expense management and support for Concur implementation.

Facility & Office Management

  • Office Operations: Lead the day-to-day operations of the Poland offices, including lease management, facility maintenance, utility procurement, and safety. Ensure the office environment supports employee productivity and well-being.
  • Project Leadership: Take ownership of local office-related projects and ensure their successful completion on time and within scope, particularly in facility and safety projects aligned with Maersk’s HSSE (Health, Safety, Security, and Environment) standards.
  • Reception & Coordination: Oversee front-office operations and ensure smooth Business Support Services across the organization.

Employee & Event Services

  • Travel & Event Management: Lead and support employee travel arrangements, ensuring compliance with Maersk policies. Manage organizational events and the SPOT Awards program, enhancing employee engagement and morale through recognition initiatives.
  • Organizational Support: Ensure that all Business Support Services contribute to a positive and efficient work environment, including travel coordination and other business support services.

Compliance & Corporate Assistance

  • Legal & Corporate Governance: Provide administrative support for local legal and corporate governance matters in collaboration with the NEC Business Support Services team, ensuring compliance with Maersk’s internal policies.
  • QES & RICC Coordination: Manage digital documentation processes and ensure compliance with local and global standards, including overseeing the eSignature process for Poland.

Stakeholder Engagement & Collaboration

  • Internal & External Liaison: Serve as the main point of contact between the Poland office and internal and external stakeholders. Ensure transparent communication and alignment with Maersk’s operational standards and NEC strategies.
  • Cross-Functional Collaboration: Work closely with other functional teams to ensure seamless collaboration, driving performance, and achieving business objectives.

Critical Qualifications/Skills/ExperienceEducation: Bachelor’s degree in Business Administration, Operations Management, or a related field (or equivalent experience).Experience:

  • At least 5 years of experience in business support, office administration, or operational roles, ideally within a multinational environment.
  • Demonstrated leadership experience in managing business support services or facility operations, with a proven ability to drive team performance.
  • Strong understanding of office project management, financial administration, and car fleet management.

Skills:

  • Leadership: Proven ability to lead and inspire teams, fostering a collaborative, accountable, and values-driven environment.
  • Communication: Strong verbal and written communication skills in English and Polish, with the ability to engage effectively across all levels.
  • Organizational & Analytical: High attention to detail with strong organizational and multitasking skills, ensuring accuracy and efficiency in managing multiple responsibilities.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), with experience in SAP, Concur, or similar systems being an advantage.
  • Driving License: Required, along with availability to travel between different locations in Poland.
