roup Services are recruiting for the position of Team Assistant. This role will be based in the Group’s Corporate Office in Madrid and will support the teams in the Strategy, Innovation and Ventures (SIV) function, and in particular to the Senior Vice-presidents based in Madrid and Germany.
This is a maternity leave contract positiosn.
Key Tasks and Responsibilities:
-Manage the daily operations of the team, including diary management and the co-ordination and scheduling of appointments.
-Arrangement of overseas travel including flights, accommodation, car hire, visa applications etc.
-Support with the elaboration of presentations and other documents developed by the team
-Coordination with assistants supporting other company executives in Europe and North America
-Arrangement of on-site or off-site meetings and organising logistics such as venue/room hire, accommodation, meals, transportation etc.
-Ensure all expense receipts are up to date and recorded in line with accounting procedures.
-A degree of flexibility regarding time is required
Key Attributes:
-Ability to maintain discretion and confidentiality at all times.
-Flexibility and ability to multi-task within tight deadlines.
-Exceptional attention to detail.
-Problem solving.
-Outstanding interpersonal skills with the ability to deal well with people at all levels.
-Initiative and enthusiasm with a “can-do” attitude.
-Self-motivated, possess excellent organisational and time management skills, and be able to work on own initiative.
-Excellent computer skills to include MS office products e.g., Word, Excel, PowerPoint and other presentation tools
Education and Experience:
-A minimum of 3-5 years’ experience in administration, or a similar role
-Extensive worldwide travel arrangement experience is essential.
-Professional proficiency in English
-3rd level degree or secretarial/ ECDL equivalent course qualification is an advantage.
-Previous experience within a Global function is desired.
