Our Secretary Services team formed by secretaries and receptionist work closely with engineers, architects, designers and specialists across disciplines to support them in their daily tasks having an impact in the service we provide to our clients.The OpportunityThis is your chance to get hand-on experience in an international company where you will work in a dynamic team supporting a variety of specialists in their daily tasks and playing a key role in the day-to-day functioning of the office.As a Receptionist at Arup, you will:
- Assist in reception tasks (customer reception, visitor entry and exit control, telephone service, correspondence management, coordinating courier services).
- Translate documents from English to Spanish and vice versa.
- Support different teams in making Power Point presentations and in the preparation of reports and formatting in Word with corporate templates.
- Manage calendar appointments, meetings and rooms, travel reservation, catering order and reception management.
- Communicate with company departments such as Facilities, Finance, etc.
- Receive and transfer external calls through Teams
- Control and replacement of plant office supplies
Does this role inspire you?We are looking for motivated and enthusiastic person that wants to become part of a dynamic team. Ideally, you’ll bring:
- Native – Bilingual or C1 in Spanish
- Fluent level of spoken and written English.
- Advanced level of the Microsoft 365 package (Word, Excel, Power)
- Strong oral and written communication and organizational skills
- Excellent communication and teamwork skills, with the ability to contribute effectively to a collaborative environment.
Bonus points if you have:
- Previous experience in reception/assistant positions.
- Knowledge of CRM and Indesign.
