What is the opportunity?

We have an exciting opportunity for a Personal Assistant to join the team in London on a permanent basis. This role will be responsible for general administration across the senior leadership team, as well as PA duties; diary management, organising meetings, making travel arrangements, co-ordinating expenses and other ad-hoc support. The successful applicant will also be required to assist other members of the wider Management team on an ad-hoc basis.

What will you do?

  • Diary management for Intermediary Management Team (Manco), which includes the Head of Intermediaries, Head of Intermediary Sales, Head of Intermediary Planning and Execution, and Head of Strategic Advisor Partnerships.
  • Handle travel and accommodation requirements.
  • Co-ordinate expenses claims via Coupa.
  • Manage email correspondence, including responding to emails on behalf of the Line Managers as and when required.
  • Organization of various meetings with internal and external stakeholders.
  • Manage various meetings. Prepare and distribute agenda, supporting documentation, minutes, and actions.
  • Ad hoc preparation of other documents such as presentations and reports.
  • Maintain team records including holiday charts, absence forms and group diaries.
  • Assist other team members and colleagues where required. This list is not exclusive, and you may be requested to carry out additional duties to those listed above.

What do you need to succeed?

Must-have

  • Previous PA experience.
  • Computer literate, with excellent working knowledge of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook etc).
  • Excellent communication and interpersonal skills with a positive, friendly approach.
  • Possesses the confidence to deal with people at all levels.
  • Exceptional organisational skills and ability to work independently to manage your workload and meet tight deadlines.
  • Ability to be flexible and work with others as part of a team in an often-dynamic environment.

Nice-to-have

  • Previous PA experience within the financial services industry.
