The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide. This position is located in the United Nations Global Service Centre, Brindisi, Italy within the Global material Life Cycle Management Team, Delivery & Return Section, Supply Chain Service. This position reports directly to the Chief Delivery & Return Section.ResponsibilitiesWithin delegated authority, the Property Management Assistant will be responsible for the following duties: • Assists in receiving all deliveries of mission supplies. • Conducts physical inspections and quality control of mission United Nations Property to ensure that all items are accounted for and in serviceable condition. • Prepares and submits R&I reports, discrepancy reports, and disposal reports for the unit chief’s approval. • Identify anomalies and/or discrepancies and the details thereof, or any other reason for rejection and record in Damage Discrepancy Reports (DDR), posted on the system and presented to R&I supervisor and Procurement for immediate action. • Process Goods Receipt reports in Umoja and R&I Reports in Umoja. • Maintains accurate and auditable property records in Umoja for property control and accountability in conformance with administrative instructions, guidelines, manuals and SOPs. • Updates all physical verification records and data entry in Umoja. • Assist stakeholders in application of property management policies and procedures to meet organizational standards and goals set up in the GAMPS/DMSPC Guidelines and mission’s SOPs. • Produces Business Intelligence reports when requested by supervisor. • Assists in monitoring the execution of contracts for the disposal of property and supplies, including all types of waste material. • Assist the technical section in preparation of equipment write-offs and processing of write-off cases through relevant property survey boards. • Assists in carrying out Board of Survey as and when required. • Collaborates with managers on data analysis requirements, including the monitoring and reporting on key metrics and KPIs, delivering actionable insights for informed decision-making. • Assists with the collection and analysis of data and, based on the insights gained, provides inputs for presentations and reports. • Assists with visualizations and updating information material such as web pages or brochures. • Generates and maintains interactive visualizations to facilitate data analysis and interpretation. • Develops and manages databases by sourcing data from primary and secondary sources, UMOJA, and the Power BI Dashboard. • Prepare statistical analysis and trend analysis on United Nations property. • Supervises, trains and provides guidance to the team members. • Reviews reports and makes recommendations. • Performs other duties, as required.CompetenciesPROFESSIONALISM: Knowledge of theories, concepts and approaches related to the application of property management procedures and guidelines. The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher. Experience in developing dashboards in the area of Property and Asset Management is required. Experience implementing financial rules and regulations related to property management in the UN or similar international organization is required Experience in database administration, Business Intelligence (BI) reporting and in data analytics areas is desirable.LanguagesEnglish and French are the working languages of the United Nations Secretariat. Fluency in English (both oral and written) is required.AssessmentEvaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
