JOB DESCRIPTION

Job Title: Projects Coordinator

Location: London

Purpose of the Job

To provide a comprehensive and flexible administrative support service to the Head of Projects and Projects team within the Meta Business Unit (London).

Key Responsibilities

1 Ensuring business policies and processes are effectively communicated and implemented within the Projects team.

2 Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process is effectively implemented across the Business Unit.

3 Management of all QHSE online reporting (to include Hazards, SmoWP, Audits)

4 Completion of Audit Schedule each year

5 Ensure staffing structures on all contracts are updated when requested.

6 Adhoc event management upon request

7 Diary and Email Management for Head of Projects

8 Adhoc Travel arrangements for Head of Projects

9 Working with other Operational managers to ensure the collaborative development of the business, effective team working, and support to colleagues.

10 Promoting and maintaining the core Values of CBRE Managed Services.

  • Provision of guidance, advice, coaching and support to all other Project Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward.

  • correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate.

  • Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential.

14 To assist with all sales opportunities for the Business Unit. Supporting the Sales Team throughout the sales process

15 Ensure the completion of all Pre-Qualifying Questionnaires for the Business Unit

16 Arranging all sales calls with Senior Team members on an adhoc basis

17 Work with our Sub-contractors and Head of Projects to ensure the best price for all sales opportunities

18 Support of Mobilisation as and when required

  • Managing the supply chain and drive them within project deadlines and CBRE SLA’s

  • To obtain a comprehensive understanding of the scope of the project and ensure that all work is carried out in accordance to the project scope and not outside of this

  • Manage all project business finance and adminstration tasks as a key user on site including team records, MMM, orderbook , UBR etc

Accountabilities

  • Reporting to a CBRE Managed Services Head of Projects

  • Accountable day to day to supporting the Projects team

  • Accountability to the CBRE Managed Services functional heads, as appropriate.

Key Skills

  • Good knowledge of the North Business Unit and wider CBRE

  • Strong communication skills, both verbally and written

  • Provide accurate administration of all paperwork generated at Office level

  • Work within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities

  • Find and obtain information and documents quickly

  • Strong numeracy skills.

  • Excellent attention to detail
