Our focus is on people and their wellbeing; the effective and efficient management of the budget; the safety and security of staff, Delegations, visitors, and of the OECD’s data; maintaining and sustaining physical and digital infrastructure; and enabling the convening power of the OECD through conferences, meetings and events, whether virtual, physical or hybrid. As well as providing corporate services, functions and management support to our staff and Members, we provide integrated, strategic and expert advice on corporate policies and management issues to the Secretary-General, to Council and to Standing Committees, to which we regularly report on corporate matters. We also provide compliance and risk management functions (for management areas under our purview). Ours is a fast-paced environment focused on delivering management excellence across all of our functions.THE CONFERENCE, SECURITY AND INFRASTRUCTURE SERVICE (EXD/CSI)Within the OECD’s Executive Directorate ( ), the Conference, Security and Infrastructure Service (EXD/CSI) is responsible in particular for the conference services, language services (interpretation and translation), safety and fire security of OECD staff, delegates and visitors and the management and operation of OECD buildings facilities in Paris and at OECD Centres abroad.THE BUILDINGS, LOGISTICS AND SERVICES DIVISION (BLS)Within EXD/CSI, the Buildings, Logistics and Services Division (BLS) is responsible for the development, management and smooth running of hard and soft facilities services as well as for strategic and operational space planning over a combined surface area of 100,000 square meters and around 4,000 workstations in Paris, France. BLS coordinates a large number of external service providers to deliver services within maintenance, catering, cleaning, travel as well as workplace project management.THE POSITIONEXD/CSI/BLS is looking for a Project Coordinator – Architecture and Workspace Design who will oversee office design projects from client request to validation, budgeting, and construction. This role involves developing communication best practices for workplace projects and refining project processes for continuous improvement. The selected candidate will report to the Head of Real Estate Planning and closely collaborate with other Units across CSI and with the CSI digital team.Job DescriptionMain ResponsibilitiesProject management

  • Lead the conception and implementation of office design projects, from conceptualization to final delivery.
  • Manage diverse projects in size and budget, proactively and in compliance with OECD procedures.
  • Develop schedules and budgets, oversee local teams and external partners.
  • Demonstrate a proactive approach, capable of managing multiple projects simultaneously in a dynamic environment.
  • Prepare detailed activity reports.

Communication

  • Establish close and proactive communication with internal stakeholders, emphasizing customer service.
  • Facilitate workshops to promote the adoption of new workspace concepts within organizational change.
  • Contribute to creating communication tools tailored to client needs, in alignment with established processes.
  • Propose communication strategies to promote projects and workspaces, enhancing their visibility.
  • Create presentations outlining workspace concepts and their applications.
  • Follow all OECD standards and best practices for communications, liaising with the directorate for Communications as needed.

Internal Collaboration

  • Promote teamwork and establish close collaboration with internal teams to ensure project operational excellence within set deadlines.
  • Actively cooperate with various OECD departments, including procurement, finance, security, quality, health and environment, and IT.

QualificationsIdeal Candidate ProfileAcademic Background

  • University degree in architecture or a similar subject is required.

Professional Background

  • A minimum of 3 years’ professional experience in office design or a similar field.
  • A minimum of 3 years’ experience in (internal) client communications.
  • Knowledge and experience in construction site management and office work tracking would be an advantage.
  • Professional experience in a multicultural environment would be an advantage.

Tools

  • Excellent proficiency in digital tools and project management software, ensuring effective planning and execution.
  • Proven experience in advanced use of AutoCAD for architectural plan design, ensuring optimal precision and quality in project realization.

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.
  • Given the nature of the role, fluency in both OECD official languages (English and French) is preferred.

Contract Duration

  • Monthly base salary starting from 4 302 EUR, plus allowances based on eligibility, exempt of French income tax.
