Position Summary

You will be part of the Systems & Payment Business Unit in the EMEA region. We are looking for a proactive and structured project management assistant to join the team. This role combines administrative excellence with project coordination responsibilities. You will play a key role in ensuring smooth commercial operations by managing service offers, purchase orders and invoicing processes. In addition, you will support the execution of projects, acting as a central point of coordination between internal teams and customers. This position is ideal for someone who is detail-oriented, organized and comfortable with balancing administrative tasks with customer facing responsibilities.

Key Responsibilities

Specific responsibilities include but are not limited to:

-Create and manage service offers in line with internal processes;
-Process, track and follow up on purchase orders;
-Ensure accurate and timely invoicing to customers after service delivery;
-Collaborate with internal teams (e.g. finance) to ensure smooth and accurate reporting;
-Identify and implement improvements in the internal administrative workflows;
-Act as the intake point of project requests;
-Organizing project meetings, preparing agendas, and taking detailed minutes;
-Monitor the project progress and ensure timely execution. Chasing “action items” from meetings to ensure team members meet their commitments;
-Communicate with customers regarding status, timelines and deliverables;
-You are part of a multifunctional team with a broad range of responsibilities, as such a high degree of flexibility in your daily work is required.
 

Profile:

-Strong organizational and administrative skills;
-High attention to detail and accuracy;
-Good communication skills, both internally and with customers;
-Ability to manage multiple tasks and priorities simultaneously;
-Tools: Expertise in MS Dynamics and MS Excel and Atlassian JIRA;
-Fluent in English and Dutch. French is a plus;
-Possess a unique blend of administrative & finance skills.
