Job Description
Main responsibility
Order Processing and Management
Receive and review export orders from customers.
Enter and process orders in the company’s ERP system. (SAP)
Ensure accuracy of order details including pricing, quantities, and shipping information.
Documentation and Compliance
Prepare and verify all vital export documentation, including invoices, packing lists, certificates of origin, and bills of lading.
Ensure compliance with international trade regulations and company policies.
Coordinate with regulatory bodies to secure required export licenses and permits.
Responsible for the compliance with all internal and external regulations and guidelines within the scope of the above tasks, especially foreign trade, customs and compliance regulations as well as all relevant quality requirements from our quality management manual
Maintenance and archiving of our customers’ handling authorizations as well as supplier declarations, creation of invoices even without deliveries of goods
Logistics Coordination
Arrange and coordinate international shipments with freight forwarders and carriers.
Monitor and track shipments to ensure timely delivery.
Resolve any issues or delays in the shipping process promptly.
Customer Service and Communication
Act as the primary point of contact for export customers, providing timely updates and addressing inquiries or concerns.
Collaborate with internal departments (e.g., Sales, Production, and Finance) to ensure smooth order fulfillment.
Maintain strong relationships with customers, suppliers, and logistics partners.
Inventory and Supply Chain Management
Reporting and Analysis
Provide regular updates and reports to management on order status, shipping performance, and metrics. Reporting of transport damages & intrastate reporting
Participate in continuous improvement initiatives to improve order management efficiency.
Master Data
Qualifications
Education:
Bachelor’s degree in Supply Chain Management, International Trade, or a related field.
Experience:
Minimum of 3 years of experience in export order management, logistics, or international trade.
Experience with ERP systems and export documentation software.
Skills:
Strong understanding of international trade regulations and export compliance.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Effective communication and social skills.
Ability to work independently and collaboratively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
German : proficient reading, writing, speaking
Preferred Qualifications
Experience with SAP or other advanced ERP systems.
Knowledge of INCOTERMS and international shipping terms.
Certification in export management or international trade is a plus (e.g., CGBP, CITA).
