Objectives of the job position :
> Assist the Subsidiary Manager in performing his/her duties
> Be the go>to>person of the team
> Manage the administrative operations and the transmission of information between the management and the various internal and/or external interlocutors
> Be the referent source of information of the subsidiary: save, give access to, share and send all relevant information to the various internal and external contacts
Areas of work / Responsabilities / Missions ADMINISTRATION
1 Responsability:
>Efficiency of administrative procedures (respect of processes and deadlines)
>Efficiency of communication (with the employees of his/her scope and colleagues) and reporting to his/her manager
>Administrative personnel management, general services management, budget tracking, information flow management2 Scope:
>(Subsidiary) team & contact with HQ3 Missions:
> Coordination of onboardig of new comers field + head office (IT, car if relevant, acces, tools,…)
> Translate some office documents in foreign languages
> Management of daily operations with the Bruxels office : guests / incoming calls/ maintenance/ office supplies
> Business travel booking and management
> Order stationery, office equipment products and IT material
> Take care of car lease, insurance, phone contracts and bills for team
> Be in charge of accrued expenses
> Make sure that all required and updated information is available to the team at all times
> IT support (in more exceptional cases)
> Provide assistance to the Country Manager.
> Contribute to the effective coordination of activities and employees;
> Serve as an intermediary between management, managers, and staff;
> Welcome clients, suppliers, and other visitors to the establishment;
> Serve as an intermediary between management, managers, and staff;
> Manage general services.
> Ensure internal and external communication through information flows.
> Organization of Benelux sales meetings and key events/ meetings, appointments, and internal/External events.
> Monitor company budgets related to responsibilities.
> Present and provide access to company data and results.
FINANCE OPERATIONS
1 Responsability:
> Efficiency of financial procedures (respect of processes and deadlines)
> Efficiency of communication (with the employees of his/her scope and colleagues) and reporting to his/her manager
> Monitoring and processing invoices and payments related to the use of phones, cars, and various insurances.2 Scope:
> Country/Subsidiary3 Missions:
> Check and process personal expenses payment
> Handle invoices payment with management’s approval: prepare and ask operations manager for payment
> Check and process expenses payment and salary deductions. HUMAN RESOURCES1 Responsability:
> Efficiency of HR procedures (respect of processes and deadlines)
> Efficiency of communication (with the employees of his/her scope and colleagues) and reporting to his/her manager2 Scope:
> (Subsidiary) team & cooperation with HQ3 Missions:
> Manage entry and exit procedures
> Assist BUM in managing the candidates’ offer letters and employees’ contracts
> Follow up HR topics such as vacation/ home office / company cars accident
> Manage the team mandatory and legal trainings
> Manage the team insurances and medicine
> Point of contact with supplier on IT / phone / car lease
> Adaptation of Sapin II Law
> Maintain contact with the payroll service provider
> Co gestion with Country Manager of the E box treatment (with infos/ actions vs Benelux admin) : ex lead on company cars fines
> Co gestion with Country Manager salary treatment via Securex – check absenteism / vacations/ phone invoice / bonus fees to be paid
> Send payroll to HQ every month for approval
> Communicate general employees’ information to the payroll service providerQualifications:
- BA/BS degree or equivalent practical experience
- Work experience of 1-2 years as Back-Office Manager in the beauty retail industry
- English, Netherlands and French are mandatory
