LOCATION: BarcelonaTYPE: HybridWhat will you do?We’re looking for an Office Manager who is organized, proactive, and ready to make an impact in our vibrant, fast-paced office! If you’re someone who loves keeping things running smoothly, helping the team stay organized, and making the office a great place to work, this is the role for you. You’ll be a key player in ensuring the office operates efficiently while supporting both our team and management. You’ll report directly to the People & Culture Manager and have a significant influence on the daily flow of the office.Your Role:Be the Face of the Office: From greeting visitors to answering calls and inquiries, you’ll make sure everyone feels welcome and supported right from the start.
Keep Things Moving: You’ll manage deliveries and pick-ups, ensuring that everything is where it needs to be on time.
Organize & Maintain: You’ll ensure the office stays clean, organized, and functional – from common areas to meeting rooms – so everything runs seamlessly.
Prepare for Success: Setting up meeting rooms and making sure all materials are ready for key meetings (board meetings, shareholder meetings, etc.) will be part of your regular flow.
Stock & Supply: You’ll monitor and replenish office supplies and keep the kitchen stocked, making sure everyone’s got what they need throughout the day.
Secure the Space: Oversee office security, access control, and work closely with IT to resolve any tech issues.
Vendor Management: You’ll be the point of contact for vendors and service providers, managing contracts, negotiating pricing, and ensuring the office gets the best service possible.
Manage Corporate Travel: You’ll create and implement the company’s travel policy, manage all travel logistics (flights, accommodation, transportation), and ensure all visa requirements are met. You’ll also monitor compliance with the policy, manage budgets, and optimize cost and time efficiency.
Admin Support: Whether it’s filing, copying, or scanning, you’ll provide essential administrative support that keeps the office running smoothly.
Support the Team: You’ll be a go-to for general office tasks, helping staff and management with everything from scheduling to organizing.
Assist Management: From keeping the executive calendar up to date to preparing expense reports, your support will keep our leadership team on track and efficient.
