Job Description:
Provide administrative services to individual(s) or a department, including calendar management, travel arrangements, correspondence, reception/switchboard, filing, mail delivery, data entry, document management services, records management, office security, and office supply orders. Book meetings, document meeting procedures and arrange special events. May provide administrative services to a site/location, typically in print production, mail services and conference room setup. May handle special projects of administrative nature.
Job Requirements:
Support HR with document management and internal event organization (e.g., Envista Circle Values Awards, onboarding days)
Manage incoming/outgoing mail and document archiving (paper and digital).
Coordinate travel arrangements and bookings for plant personnel.
Support internal communication (bulletin boards, posters, reminders).
Support travel arrangements for staff, including transportation and accommodation.
Assist HR with onboarding processes, document collection, and employee records.
Manage staff flow records: track employee presence and absence, ensuring timely updates and corrections in the system.
Enter new employees into internal systems, whether permanent or temporary, ensuring accurate onboarding documentation.
Oversee temporary workforce management, including contract tracking, renewals, and coordination with external agencies.
Manage insurance policies and regional taxes for company vehicles, ensuring timely renewals and compliance with local regulations.
Maintain updated records of vehicle documentation and liaise with external providers and authorities as needed.
QUALIFICATIONS AND SKILLS
Strong organizational and multitasking abilities.
Attention to detail, discretion, and reliability.
Excellent interpersonal and communication skills.
Previous experience in similar roles, preferably in industrial environments.
English language proficiency.
