Office Administrator (maternity leave replacement)

The Office Administrator role is a key role in the Leica Italy organization ensuring relevant processes across Leica Italy organization. The will report to the CC Manager LBS Italy.

The role is responsible is mainly for the following areas:

Car fleet management

  • CFM as per Car Policy and relationship with leasing company (Currently Arval Fleet Services)
  • Orders of new cars to be done by the approval of TCO from Indirect Spent/ibuy
  • Communication to HR of the change of car fringe benefit to be applied on associate salary
  • Support of all the associates with company cars in case of accidents & replacement car need
  • Management of Q8 Fuel card provider & Fine management

Health & Safety

  • Ensure the compliance to local Health and Safety law (D.lgs. 81/2001) whit the support of external consultant (DVR update) and check the status of all the documents mandatory for health and Safety laws; reference contact person/activities for RSPP related processes
  • Medical visits coordination for all Leica associates
  • Safety trainings organization per law (preposti, neoassunti, dirigenti)
  • Provide the PPE (personal protective equipment)
  • Facility Emergency Contact person (Alarm, Fire…)
  • Forniture/ relayout of office purchasing

Other Office & Finance Admin

  • Order placements facility (Stationery items, all materials related to offices..) in IBUY tool.
  • Check of Arval and Q8 invoices before scanning
  • Buy the stamps for Tenders
  • Pay ANAC (Anti corruption government agency specific for pubblic tenders) for tender participation
  • Passive invoices to Leica: reception, check and scanning, Intrastat

Requirements for the role:

  • 2-3 at least in admin roles
  • English proficiency
  • Bachelor’s Degree or High School degree
  • Based in Buccinasco Office (MI)
