Job purposeThe Membership Executive will support the Membership Director and Membership Manager in the administration, processing, updating, and maintenance of memberships, membership materials, payments, files, and data. The role also involves assisting in developing sales channels, maintaining strong member retention, networking, and creating rapport with members. The Membership Executive will ensure a seamless membership operation and coordinate with various departments across the business.Main Activities and Responsibilities:Administration and Processing:

  • Assist in the administration and processing of membership applications, renewals, and terminations.
  • Maintain accurate and up-to-date membership records and databases.
  • Support the Membership Manager in overseeing the collection of membership fees and follow up on outstanding payments.
  • Prepare and distribute membership packs for new members, including digital codes/signatures for club conveniences.

Member Communication and Engagement:

  • Respond to membership inquiries via telephone, email, and in-person promptly and professionally.
  • Ensure all members receive timely and accurate email responses and communications throughout their application journey.
  • Assist in creating and distributing regular membership communications, newsletters, and updates.
  • Help coordinate membership events and activities to enhance member engagement and satisfaction.
  • Support the Membership Director and Membership Manager in identifying new membership opportunities and retention strategies.

Application and Review Process:

  • Assist in monitoring incoming applications from the club’s website/app and filter applicants into appropriate categories.
  • Help manage the club’s waiting list and handle related inquiries.
  • Attend committee meetings as required to review new applications and prepare lists of approved joiners.
  • Assist in managing/updating the waiting list, handling inquiries, and processing changes to member details.

Membership Operations:

  • Check the payment system daily to follow up on new member and renewing member payments, involving the Membership Director when necessary.
  • Oversee the distribution of auto-generated emails reminding members about upcoming payments.
  • Chase any outstanding fees with members personally on the phone or via email.
  • Process membership refunds and complimentary memberships as directed by the Membership Director.
  • Ensure any complimentary memberships with credit are programmed with the correct redemption amount.

Reporting and Compliance:

  • Provide reports on membership statistics, including new joiners, renewals, and resignations, to the finance team and senior management as required.
  • Ensure accurate and compliant data management and prompt revenue collection.
  • Support cross-functional collaboration with other departments to communicate member feedback where appropriate.
  • Stay abreast of industry competition and best practices to maintain the business’s competitive edge.

General Support:

  • Provide general administrative support to the Membership Department as required.
  • Manage stock and stationery, including headed paper, envelopes, and member books.

Manage other activities relating to or resulting from what is indicated in the previous points.Key Competencies:Required Education and Experience:

  • Bachelor’s degree in business administration, Hospitality Management, Marketing, or a related field.
  • Previous experience in membership administration, customer service, or sales, preferably in a luxury hospitality or private club setting.
  • Familiarity with CRM systems and membership management software is a plus.
  • Knowledge of one or more foreign languages (min. Italian and English).

General Knowledge and Technical Skills:

  • Understanding of membership sales, marketing, and retention strategies.
  • Proficiency in using CRM software and membership management systems.
  • Basic knowledge of financial principles related to membership billing and accounting.
  • Ability to generate reports and analyze membership data.
  • Competence in using digital communication tools and social media platforms.

  • Strong communication and interpersonal skills, with the ability to build rapport with high-profile members and stakeholders.
  • Attention to detail and accuracy in handling membership records and data.
