Linklaters Belgium is seeking a dynamic and detail-oriented Management Assistant to support multiple legal practice groups. The role focuses primarily on revenue management, billing, and administrative support. Operating from offices in major business and financial centres, we deliver outstanding service to clients worldwide.Key ResponsibilitiesRevenue and Matter management:
- Handle the administrative aspects of matter management, including capturing key information on new matters in a database, preparing engagement letters for clients and providing clients with regular fee updates.
- Monitor key revenue metrics (e.g. unbilled fees) for matters and regularly discuss any potential issues with senior lawyers.
- Maintain financial hygiene of the practice through driving regular billing, together with Belgium Revenue Team. Building strong working relationships with matter managers and Partners.
- Ensure invoices align with the agreed fee arrangements and prepare documentation accompanying invoices using spreadsheets.
- Handle any administrative issues with eBilling and liaise directly with client finance teams on billing details.
Administrative Support:
- Provide comprehensive administrative support to lawyers, including managing correspondence, calendars, meetings, and travel arrangements.
- Engage in document management and production using Word, PowerPoint, and PDF standards, and manage databases.
- Ensure timesheets are completed and efficiently handle expense claims and purchase requests.
Skills and Experience
- Educational Background: Preferably holds a degree in Administration, Management or Finance/Accounting.
- Language Proficiency: Excellent knowledge of English, with Dutch/French as an asset.
- Relevant Experience: Prior experience in a legal or professional services environment is an asset.
- Positive Attitude: A proactive, can-do attitude, and a team player who is conscientious and diligent. Highly motivated able to work both independently and as part of a team.
- Technical Skills: Strong analytical skills, ease with numbers as an asset.
- Communication Skills: Outstanding communication and interpersonal skills, with the ability to develop relationships with people at all levels and handle interactions professionally at all times.
- Organisational Skills: Strong organisational skills with the ability to manage time effectively, complete multiple tasks, and prioritise efficiently under pressure.
- Attention to Detail: Excellent attention to detail and a commitment to delivering high-quality work.
- Software Proficiency: High level of proficiency in Microsoft Office tools (Outlook, Word, Excel and PowerPoint).
