Logistics Coordinator – Fixed Term (12 Months)

OVERALL PURPOSE OF ROLE:

Prepare, scheduling and booking of flights on a daily and ad-hoc basis.

This includes but is not limited to booking all passengers to and from various installations.

Main Responsibilities

  • Input flights into Vantage POB system.
  • Liaise with offshore representatives and planners for passengers and flight requirements for each individual flight.
  • Advise BHL crewing and/or Operations of flight requirements.
  • Take bookings of passengers from planners and vendors.
  • Input personal details to the Vantage POB system and book on to specific flights.
  • Check all certification required for mobilisation.
  • Advise check in times for all passengers.
  • Organise any VIP flights for client if required.
  • Call planners/offshore representative to prioritise passengers/freight.
  • Reschedule flying schedule when flights are delayed. Liaise with crewing/operations.
  • Advise crew of inbound load if required.
  • Any other operational duties required.
  • Obtain hotel information from client for any delayed or cancelled flights.

Skills and Attributes

  • Good telephone manner
  • Good IT and keyboard skills.
  • Knowledge of Vantage POB system.
  • Liaise with operations and keep offshore advised of any changes.
  • Good customer skills.

Knowledge and Experience

  • Training of the Vantage POB system to a high level.
  • Knowledge of email, Excel, and Word packages.
  • Knowledge of flying schedule and aircraft availability each day.
  • Monitor flights for any potential issues.

PERSON SPECIFICATION:

Qualifications:

  • Higher Education

Experience:

  • Proven experience in delivering service excellence and innovation. 
  • Must have considerable experience in high level Client Liaison.
  • Must have considerable experience in People/ Operations Management
  • Experience of multi- site operations would be desirable.

Skills and knowledge:

  • Must be service delivery focussed and have procedural focus, awareness, and a strong attention to detail.
  • Should be a logical clear thinker, able to interpret, analyse and act effectively on information available.
  • Excellent communication & presentation at Senior Managerial level are essential.
  • Proven integrity and an ability to foster trust is essential.
  • Ability to prioritise effectively.
  • Knowledge of airport security legislation would be beneficial.
  • Must have a knowledge of Health & Safety Legislation.
  • Proven ability to work independently.
  • Operation & legislative / regulatory understanding is key.
  • Knowledge of Microsoft Office Products.
