Legal Coordinator

Please note this role is advertised on a 10 month FTC

The Legal Coordinator will join the News UK Commercial Legal team to manage the timely and efficient coordination of the end to end contracts signing and uploading process, and support the team with daily administrative activities. They will be a key member of a commercially focused legal, data protection and compliance team, working in a fast-paced and varied work environment.

On-site day-to-day responsibilities

Key Team Liaison

  • Act as the first point of contact for internal stakeholders and external guests, both in person, online and over the phone. Working closely with other departments such as Finance, Technology and Procurement to ensure professional and seamless communication with the Commercial Legal Team.

Contracts Management System

  • Upload and manage commercial legal contracts, ensuring the end-to-end process for approving, signing and storing contracts is completed efficiently and in a timely manner. Act as the primary coordinator for SAP Ariba (internal legal contract management system) and DocuSign. Implementing technical changes and providing training on these systems when required. Provide support to the team to maintain compliance with internal approvals process and procedures.

General Office Management

  • Deliver support to the team, including managing incoming and outgoing post, ordering stationery, organising archiving and arranging couriers. Liaise with IT on behalf of the team when required.

  • Support the onboarding of new legal service firms and handle other administrative tasks as required.

  • Process and arrange payment of legal invoices and ensuring they are tracked against monthly budget trackers over the financial year.

Team Support

  • Arrange and coordinate meetings for the team, including internal and external meetings, team training sessions, and other events. Chair and take minutes for meetings, book meeting rooms and provide technical support as needed.

  • Manage the HR Internal Risk Register and produce a monthly report. Update monthly Litigation Report documentation as requested by the team.

  • Support the Intellectual Property team with Take Down Notices for copyright infringements.

  • Support the compliance team with compliance monitoring, including liaising with the business to ensure these actions are complete.

  • Facilitate the onboarding process for new joiners to the Legal team, including arranging email accounts, building access, equipment, and desk preparation. Maintain and update new starter documentation.

  • Prepare and submit expense claims on behalf of the team, ensuring accuracy and compliance with company policies.

  • Arrange travel for the team.

  • Manage Engagement Letters process.

Document and Record Management

  • Assist in the creation and formatting of documents, including agendas, correspondence, legal documents, contracts, presentations, and reports. Print, collate, and bind materials as required. Maintain and update Legal precedents, when applicable.

  • Maintain and update the team’s filing and record-keeping systems, ensuring all documentation is managed with the utmost confidentiality.

  • Handle sensitive and confidential company information with the highest level of discretion and professionalism.

Work Experience Management

  • Coordinate arrangements for work experience candidates, including security passes, technical equipment, work schedules, and confidentiality agreements.

Ad Hoc Project Work

  • Project management: provide support on ad hoc projects within the Legal team as required.

The above is not an exhaustive list of responsibilities. You may be required to perform additional tasks as necessitated by the needs of the team and the evolving scope of the role. This role is office-based, requiring attendance at the workplace five days a week.

  • Communication Skills : Excellent oral, written, and presentation skills. Confident in drafting, proofreading, and editing documents for accuracy in spelling, grammar, and punctuation.

  • Attention to Detail : Highly organised, methodical, and meticulous, taking pride in the quality and precision of their work.

  • Interpersonal Skills : Able to interact positively and professionally with colleagues at all levels of the company, serving as an ambassador for the Legal team.

  • Technical Proficiency : Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint). Familiarity with Google Workspace (Gmail, Google Docs, etc.) is advantageous. Experience with Concur and Ariba would also be beneficial.
