We have a great opportunity available for a corporate Paralegal / Legal Assistant to join our Legal team in the UK.

Your duties and responsibilities:

  • Statutory books & meetings:

  • Assisting with maintaining the statutory books for a number of CBREIM entities.

  • Assisting with the scheduling and coordinating of the related meetings for a number of UK regulated entities including distributing materials, taking minutes and providing assistance with signatures/document management

  • Liaising with external service providers in relation to information required for the maintenance of off-shore entities

  • Corporate approvals and UK corporate signatures:

  • Coordinating approvals and drafting resolutions and board minutes for corporate/member approvals

  • Preparing and managing companies house filings for the UK incorporated entities (varies from quarterly to yearly, as well as ad hoc tasks)

  • Coordinating and documenting resignation of directors, and other ad hoc items which occur throughout the year in relation to UK incorporated entities

  • Legal Documents:

  • Lead on the negotiations of NDAs, PoAs, and other ancillary documents with support from the UK legal team and other external service providers

  • File all documentation, and keep an accurate and succinct file of all matters and documents

  • Track NDAs, PoAs, and other legal processes and timelines for the UK legal team

  • Assisting with development and maintenance of UK legal team know how materials

  • Signature process and coordination of matters:

  • Acting as main point of contact for confirming signature blocks/authorized signatories and coordinating the signature process for documents

  • Maintaining/updating checklists, and providing ongoing status updates as and when required

  • Working with the UK legal team to assemble executed documents, closing sets, and update agreement trackers

  • Administrative tasks:

  • Updating and maintaining databases and internal repositories

  • Updating of library and third party legal resources

  • General administration tasks and assisting the legal team with other ad-hoc duties

  • Manage internal online company books system (H Cue) for updates to each UK based CBREIM entity, and manage other internal systems, such as Bankline (a payment system)

Personal specification requirements

  • Ability to prioritise work and manage time effectively to meet deadlines; preparing and delivering a comprehensive and coherent work product.

  • Ability to liaise with lawyers and clients (where appropriate) on ad hoc assignments as well as ongoing deals.

  • IT literate with a good knowledge and competency in the use of Microsoft Word and Excel.

  • Excellent organizational skills, analytical skills, attention to detail and able to multi-task.

  • Excellent communication skills with the ability to communicate with people at all levels, including senior stake holders, clients and external advisors.

  • Knowledge of legal terminology and principles.

  • Proactively managing matters, and proactively thinking about improving systems and processes to streamline workloads.

  • Willing to seek challenges, take over difficult or unconventional projects and be able to take on projects at any stage.

  • A motivated self-starter who is team-orientated and able to use their initiative.

  • Previous paralegal experience working in an international law firm is advantageous.

  • Legal degree or equivalent with an LPC qualification is preferred but not a necessity.
