Summary of role:

The heartbeat of FT Live is our strong portfolio of event products and our ability to access, convene and engage the highest quality delegates and speakers. The Junior Events Project Manager will work within the Partner Events team. This team is dedicated to creating and delivering high level bespoke events for clients. This role involves working on small to mid-level event projects and ensuring high-quality customer service to clients, spanning from the initial briefing to the debrief. Keeping the project to time is vital, and relies on effective project management of internal teams and attention to detail is key. 

The role will report into the Senior Project Manager and offer the chance to assist on bigger projects with administrative project work, event reporting and analysis. An eagerness to learn and natural use of initiative is desired to succeed in this role. The Junior Events Project Manager will be expected to work on projects where dealing with clients is key, so a strong account management and client liaison focus is required. 

Outcomes

Success in this role will be defined by the ability to help build and maintain strong, long-lasting customer relationships, the Project Management Executive will learn how to deliver reporting, create project schedules, support in team administrations and ensure that the event deliverables are executed on time. Ability to spot problems before they occur and open communication is key. 

Main Duties and Responsibilities

Reporting into the Senior Project manager, you will initially shadow on projects from the client brief, onboarding the client, completing project admin and reporting, before moving up to running your own small to mid-level event projects autonomously. 

This work will include:

  • Conducting meetings with internal stakeholders to gather in-depth project briefs prior to client onboarding, which includes reviewing client contracts and supporting in assessing project feasibility.
  • Collaborating with senior management to formulate strategic objectives and project goals.
  • Support in monitoring project performance and output – specifically to analyse the successful completion of short and long-term goals
  • Producing project schedules and timelines for tasks – in accordance with the needs of your client. Communicating verbal and visual plans for clients to engage with.
  • Meet with clients to understand their objectives, set KPIs and communicate with the whole team.
  • Identify and manage risks to ensure delivery is on time.
  • Report regularly to senior management, project teams and the client.
  • Generate and uphold detailed project documentation. Oversee administrative tasks throughout projects, compile post-event reports, assess successes and challenges to enrich learning for future projects. Analyse data for insights that can contribute to the enhancement of subsequent projects.
  • Working alongside the project team in maintaining the budget and profit margins
  • Identifying and monitoring competitor events and alternative ways the marketplace will accumulate information, market knowledge, and commercial relationships.
  • Attend conferences and training as required to maintain proficiency.

Person specification

  • 1 year+ of B2B account or project management experience (particularly in events) is desirable.
  • Proven experience of providing administrative support.
  • A flexible, adaptable and organised approach to work, exercising initiative and working independently as appropriate. Strong organisation and time-management skills.
  • A high degree of accuracy in work practices and ability to cope well under pressure.
  • Customer Focus: builds strong relationships (internal/external)
  • Action-Oriented: a true self-starter. Uses initiative at all times – asks questions and eager to learn.
  • Communicates Effectively: effective written and verbal communication skills that clearly convey project status and milestones.
