We are looking for a passionate talent to build a global brand.The candidate will join the Global Facilities team, located in MilanYou will be the first point of contact for visitors and clients, ensuring a welcoming and efficient reception area. This role also includes providing comprehensive personal assistance to senior management, ensuring that their day-to-day activities run smoothly. The ideal candidate will be a proactive, detail-oriented individual with excellent communication and organizational skills.Main responsibilities

  • Front-Office activities: Reception management, guests’ registration; Tour, and explanation of Marelli headquarters spaces
  • New colleagues’ welcome: Creation of new badges; Welcome kit; Inductions’ organization
  • Back-office activities: Office spaces’ management (booking meeting rooms, workstations); Support in booking and managing lunches with guests/lounges; Organization of shipments and pickups in Milan; Support in collecting signatures of documents and sending them out; Supporting requests from various teams, including support in purchasing stationery materials; Organization of medical appointments; Researching homes for store employees and managing contract/payment process, etc.; Monitoring GOLDEN apartment reservations; Support in the uniform allocation procedure for employees and the management of returns
  • Company cars: Smart management: reservations and maintenance; Management delivery to drivers of new company cars with related documentation; Supporting employees in various issues (coupons, accidents, etc.)
  • Other: As Front Desk Relations, you will have the opportunity to take on new tasks and responsibilities as they arise. We encourage a positive, adaptable mindset, as this role may involve supporting various business aspects based on the company’s needs and your interests. Key requirements

  • Fluency in English (a second language is a plus)
  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus
  • Proven experience in a front desk, administrative, or personal assistant role
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
  • Professional appearance and attitude
  • High level of discretion and confidentiality
