The FM Coordinator (FMC) is a broad role which supports the Facilities Management team in order to facilitate the delivery of FM services, ensuring excellent service delivery through effective supplier management and sound interpersonal relationships, with a strong emphasis on customer satisfaction, budgetary control and Health & Safety.

Key Responsibilities

Organisation

Organise and drive support meetings – agenda setting, assigning action plans and accountability.

Maintain key timeline impact points across all Service Lines.

Coordinating & communicating to line of business & other stakeholders as required.

Service Delivery

Working with the FM team, Projects and Vendors to ensure continual contract measurement is carried out and compliance achieved. Gather, validate analysis and interpret information in support of Performance on Admission and KPIs measures. Escalation to appropriate Service Line Lead in a timely manner.

Monitoring, coordinating, and supporting the Project Support Office and liaising with clients & vendors accordingly

Monitoring, coordinating, and supporting the Service Desk work order system and liaising with clients & vendors accordingly.

Monitoring, coordinating and supporting security access control system and user access during project related works.

Business Continuity Plan – Liaising with the Facilities Management, central compliance, and legal compliance teams to ensure up to date at all times.

Budgetary support with the ability to provide explanations for variances when required for project related works.

Reviewing, raising, printing, and tracking quoted vendor work on to finance system.

Identification of cost savings, efficiencies, and improvements

Maintain high levels of customer satisfaction

Timely closure of reactive work orders

Ensure Health & Safety compliance at all times. (Hazard Spotting & resolution, e-permit system compliance, providing data for monthly H&S reports).

Supporting weekly and monthly project meetings as required.

Supporting and assisting with other duties as required.

Essential Skills

Attention to detail, along with good organizational skills

Supplier relationship management

Excellent Health & Safety awareness

Strong analytical skills and ability to interpret data

Proven client service focus, with an ability to resolve issues quickly, with a sense of urgency

Confident at working independently, with an ability to self start

Confident and assertive where required

Good understanding of business fundamentals

English language skills – excellent written and verbal communication. A second language would be beneficial.

Excellent IT skills (Word, Excel, MS Outlook, PowerPoint and SharePoint). Experience of in-house would be advantageous, but not essential

Essential Experience

Direct experience of working with clients across multiple service lines

Working with all levels within the Company and on Account

Degree or equivalent experience

Health & Safety qualified or working towards
