We are currently looking for an Executive Secretary to become part of this journey and contribute to our overall purpose – securing people through advanced technology.Your role in our teamAs our Executive Secretary, you will play a key role in ensuring the smooth operation of the administrative support to both Termas’s executive functions as well as different operational areas of our business by taking responsibility for providing high-level administrative and organizational support services. This position requires exceptional multitasking abilities, discretion, and professionalism, as you will work closely with senior executives, board members, and internal as well as external stakeholders. You will be responsible for critical administrative functions, coordinating meetings, and maintaining communication flow between the executive team and other departments.Organizationally, you will be a part of the corporate legal department and will refer to and cooperate closely with Terma’s General Counsel.How you will make a meaningful contributionYour key responsibilities include the following:
- Coordination of board and chairmanship meetings for Terma’s Executive Board
- Managing board materials in connection with and between board meetings, uploading materials for the board on the assigned platforms
- Coordinating meetings and requests as well as reviewing and commenting on various communication and materials
- Collaboration with e.g. Global Finance Marketing and HR on various administrative matters
- Administration of company MitID, E-Boks, VIRK and similar
- Handling workflows between various stakeholders including Thomas B. Thrige’s Fond, Terma Board etc.
- Reporting to the Danish Business Authority (Erhvervsstyrelsen)
- Updating company data in the Business Authority/CVR register
- Handling Penneo and other digital signatures
- Administrative work related to the arrangements with the notary and legalization of documents at the Ministry of Foreign Affairs (Apostille) or otherwise
- All administrative tasks related to Thomas B. Thrige’s fond, and the performance of its purposes incl. Related to the TBT Kolleguim and granting of funds
- Handle contact with external public or private stakeholder is support of Terma’s administrative obligations, registrations and legal formal requirements
Bring your world class expertise into playYou are fluent in English in both speech and writing. Moreover, you have excellent IT-skills.
In addition you:
- hold a Bachelor’s degree in Business Administration, Communication, an administrative education, or a related field of study, or you have relevant working experience e.g. as a Legal Secretary or similar professional secretarial
- have experience from a similar position and understand corporate processes as well as working with e-Boks, Penneo, MitID and the CVR register
- have solid familiarity with corporate governance processes, including board meetings, reporting, and document management
- must have very solid administration skills and thrive with days that does not necessarily look the same, but are filled with inquiries for assistance on administration and coordination
- possess good communication skills and know how to target your audience. You have strong communicative and writing skills
- understand and accept the importance of handling confidential information with the needed discretion and professionalism

Moreover, you are very well-structed, organized and have skill and interest in creating systems and processes for workflows.
