For an international Communication Agency, we are searching an Executive Secretary to support the CEO and Creative Director.We are looking for analytical, proactive, pragmatic and detail-oriented professional, always one step ahead.Responsibilities

• Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for the managers’ attention.
• Manage the managers’ diary to co-ordinate meetings, appointments, and to ensure smooth running of such meetings.
• Reminding the managers of important tasks and deadlines.
• Take minutes at the managers’ meeting, and board meetings.
• Coordinate and communicate with various departments and all levels of staff on matters directed by the managers.
• Prepare and manage correspondence with internal and external parties for managers’ approval/review/signature.
• Managing databases and personal contact agenda of the managers and keep them updated.
• Coordinate national and international travel arrangements for the managers and the entire Negri Firman organisation in a highly efficient manner and prepare detailed travel dossiers accordingly.
• Planning and managing international and national corporate events, dinners and parties, coordinating with the designated departments within the organization.
• Perform other reasonable working and private duties assigned by the managers.
• Maintain confidentiality of sensitive matters/issues.

Skills

• Extensive experience in similar role. Secretarial experience serving senior management levels in modern and structured organizations.
• Excellent reading, writing and oral proficiency in English and Italian languages.
• Ability to interact with a diverse group of subject matter, experts within a large global organization. Good communication and customer relation skills.
• Service oriented with an eye for details.
• Critical thinker and problem-solving skills.
• Good time-management skills.
• Well-presented and professionally always groomed.

Qualifications

• Education: Bachelor’s degree with a focus on one or more of the following topics: marketing, sociology, human resources, languages and communication, business administration, or equivalent combination of education.
• Languages: Fluent in English, and Italian (written and spoken).
