Executive Officer to the Vice Principal and Head of College for Medical, Veterinary & Life SciencesJob PurposeThe Vice-Principal and Head of College of Medical, Veterinary & Life Sciences (HoC) is responsible for developing and implementing the College’s strategic vision and the Executive Officer role supports the HoC with the execution of their objectives. The HoC has a responsibility for leading the governance of the College, executing key decisions in support of College and University ambitions with support from College Management Group, including academic and professional service senior managers. The HoC also represents the College and University with Government and partner organisations, including other universities, industry and third sector. This role will support the HoC with the implementation of the objectives of their role. This will include: researching and drafting strategic / policy papers, presentations, speeches and processes; effectively engaging with key internal and external stakeholders; and proactively and independently managing selected projects across the full spectrum of the HoC’s responsibilities and priorities. The Executive Officer needs to be aware of the University’s priorities and pressures, and to be sensitive to the strategic direction of the University.The post holder will report to the College’s Head of Business Change and, through line management of the College Office’s Executive Assistant, will oversee the College Office administrative team, who provide administrative support of several members of the College’s senior management team.The postholder will liaise with senior college staff, senior University Staff, NHS colleagues, UK funding bodies and other Higher Education Institutions both within the UK and overseas. The role involves recurring duties as well as the requirement to respond to the needs of the Head of College and ensure that all requests are met timeously and effectively. The post holder may be required to work outside of normal office hours.Main Duties and ResponsibilitiesExecutive Support: Pro-actively manage and follow up on any actions in relation to the HoC’s full range of activities. The post-holder will have discretion to act independently where appropriate.Project Management: Proactively and independently manage and contribute to complex and strategically significant projects, often involving multiple stakeholders and University offices with conflicting priorities, using judgement and discretion. This will involve interacting with, and in some cases coordinating with, project teams.Relationship Management: Build close rapport and facilitate successful relationships with internal and external stakeholders to ensure effective engagement to further advance College strategies.Communications: Research and draft speeches, presentations, papers, briefing notes, reports and correspondence as directed across the full spectrum of the HoC’s responsibilities and priorities, undertaking substantive background research from appropriate sources, and with awareness of the full range of University policies, independently commissioning work from other University Units where required.Committee and Meeting management: Provide extensive and senior committee management services to a range of senior College committees, working groups, etc. Accompany the VP/HoC as required to meetings, preparing notes and following up action points when required. In some cases the postholder will attend meetings on behalf of the VP/HoC ensuring pre- and post-briefings with the VP/HoC.Leadership and People Management: Oversee the successful operation of the College Office including management of the College Office administrative support team, fostering a culture of continuous improvement of business practices, operational processes and service.Professional Services: Manage or oversee specific College processes including College Management Group recruitment, organisation of events and visits, Freedom of Information and Data Subject Access Requests and College-level communications.Any other duties as assigned by the HoC to contribute to the enhancement of the University’s international profile in line with the University’s and College’s Strategic Plans.Knowledge, Qualifications, Skills and ExperienceKnowledge/QualificationsEssentialA1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary professional knowledge and management skills in a similar or number of different specialist roles. Or: Scottish Credit and Qualification Framework level 9,10 or 11 (Ordinary/Honours Degree, Post Graduate Qualification), or equivalent, including being professionally qualified in relevant discipline, with a broad range of professional experience in a management role(s).
