With the power of many curious minds, together we can solve the world’s most complex challenges and deliver more impact together.Role description:Arcadis’ independent Compliance Function, led by the Global Compliance Officer and supported by the Compliance Officers (COs), the Global Compliance Committee and other Global Business Area (GBA)- and Country Compliance Committees, is responsible for providing support and expert advice to the Arcadis group on all integrity and compliance-related matters, and monitor whether the Arcadis General Business Principles (AGBP), Integrity and Compliance expectations are met (design & operational effectiveness), per the Compliance Charter.The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to Integrity & Compliance and the Compliance Function. Reports to the Global Compliance Officer. This role will be based in Amsterdam, Netherlands.Role accountabilities:The Executive Assistant (EA) provides administrative and development support to the Global Compliance Officer and the Global Compliance team. The Executive Assistant also serves as the liaison to Legal, Privacy, and other Enabling Functions as well as other senior leadership group (SLG) members.Meeting governance

  • Agenda items for meetings are relevant to current Strategy, strategic initiatives, the annual Global Integrity & Compliance Program and performance ensuring deep dives are added to the agenda where appropriate.
  • Responsible for accountability matrix and action lists related to the Global Compliance Committee, and other Compliance Committees and family tree of oversight committees as per the Compliance Charter, including those following from the Management Integrity & Compliance Risk Assessments (MICRA). Drive response to ensure governance.
  • Responsible for action lists related to the Global Compliance team. Managing actions arising from meetings and developing meeting action plans.

Support and management

  • Support with daily administrative tasks.
  • Proactively manage complex agendas.
  • Support the Global Compliance Officer in the preparation of the Global Compliance Committee (Executive Board), Audit & Risk Committee (Supervisory Board), and Supervisory Board meetings in close collaboration with the EB EAs, as well as the Corporate Secretariat.
  • Support in setting up cadence update meetings of the Compliance Officers group and the GBA/Country Compliance Committees, and global heads of Enabling Functions from oversight committees to allow the Compliance Function to monitor design and operational effectiveness.
  • Assist with Compliance-related BPO processes.
  • Support coordination of training, risk assessments (MICRA), and standardization and automation initiatives, raising awareness, change management, and communications.
  • Provide support in the production of presentations, internal and external reports, and proposals in line with Management requirements, which could include proofreading, creating charts/graphs, and managing metadata and versions of edits and documents for meetings.
  • Reading, monitoring, and selectively responding to emails proactively taking the lead on delegating actions where necessary with the highest level of confidentiality, integrity, and respect.
  • Preparing correspondence on the Global Compliance Officer’s behalf. Act as a point of contact and an efficient liaison between colleagues, clients and regulatory authorities.
  • Maintenance of any electronic filing systems/other filing systems e.g. database/marketing materials, the Integrity & Compliance Management System, intranet, and support with Policy management.

Travel

  • Arranging travel schedules, visas, and accommodation as required with a comprehensive itinerary.
  • Maximise all opportunities to coincide trips with other meetings always considering health & safety & well-being, and sustainability.

Diary management

  • Strategic diary and time management efficiently and effectively, ensuring the team is timely and well-prepared for meetings.
  • Looking at the long-term calendar, evaluating (strategic) opportunities, and determining fit with group-wide priorities including meeting preparation, presentations, and follow-up.
  • Managing requests and making sure the Global Compliance Officer is not overloaded and priorities are maintained

Qualifications & Experience:The Executive Assistant has a demonstrated high level of integrity and discretion, affinity with Integrity & Compliance topics, an academic intellectual capacity, and significant experience as an Executive Assistant at a professional international services company on an executive level. The Executive Assistant has outstanding organizational skills, and mastered English and Dutch verbally and written. Preferably with experience in supporting a Compliance function.

  • Applies naturally discretion and confidentiality in all matters.
  • Excellent discipline in prioritising, planning, organizing, and delivering successful projects of high complexity. Outstanding logistical, organizational, coordination, and planning skills. Highly organised.
  • Excellent relationship builder and able to influence. Ability to build relationships with an international and culturally diverse network and stakeholders across different levels, both internally and externally.
  • Can work under pressure in a calm and thoughtful way.
  • Likes to work as part of a team and contribute to the success of a team, but equally comfortable working alone.
  • Finishes all work to a high standard even when under pressure / tight deadlines.
  • Positive attitude and willingness to help others.
  • High level of communication skills, with a sense of humor.
  • Excellent attention to detail. Accuracy and quality driven.
  • Highly proficient in all Microsoft programmes including MS Word, MS Teams, PowerPoint, Excel, and Outlook
