Job title: Department Assistant

Your new role
As Department Assistant, you will play a key role in supporting the management team by ensuring smooth coordination of administrative and operational activities. You will work proactively across the department and collaborate closely with other assistants to continuously improve processes and ways of working.
Your main responsibilities will include:

-Coordinating management activities such as meetings, events, and departmental seminars
-Supporting hiring and onboarding processes, including maintaining organisational overview and systems
-Contributing to departmental initiatives related to strategy and organisational development
-Driving process improvements and identifying opportunities to enhance efficiency in daily operations
-Collaborating with the assistant network to establish and optimise administrative standards across the organisation
Your new department
API IO M5 Technical Support is based in Kalundborg, Denmark, and consists of approximately 90 colleagues working across multiple functions. The department supports and maintains process lines that are preparing for operations, ensuring stable production performance, high quality, and safe operations.

Your skills and qualifications
To succeed in this role, you bring strong organisational capabilities and a proactive mindset, combined with a collaborative and service-oriented approach.
We expect you to have:

-Around 3–5 years of experience in a similar administrative or assistant role supporting leadership teams
-Strong digital skills, including experience with Office 365 (e.g. PowerPoint) and an interest in digital tools and optimisation
-Experience with SAP and an affinity for working with numbers is considered an advantage
-Excellent communication skills and experience preparing presentations or supporting communication activities
-Fluency in both Danish and English, written and spoken
As a person, you are reliable, proactive, and adaptable. You are comfortable working independently while managing multiple priorities and deadlines. You take initiative, seek solutions, and contribute positively to a collaborative working environment.

Salary and Benefits: The Annual Base Salary ranges from 436.800 to 643.200 DKK, corresponding to the level of the position. The placement within the salary range will be assessed during the recruitment process based on the candidate’s skills, competencies, knowledge, and relevant experience.
A competitive benefits package is offered, including a pension scheme (currently 13% employer contribution and 5% employee contribution) in accordance with the applicable Collective Agreement for Salaried Employees (Industriens Funktionæroverenskomst or “IFO”).
Benefits package also includes a free choice account of currently 10% and 4% holiday allowance.
