Applications are invited for the above permanent full-time posts (2 x FTE) working in the North Wales Medical School.Duties will include providing an administrative service and engaging and completing a range of routine tasks to meet operational and customer service requirements. Individuals will be allocated a predominant function supporting assessments for the medicine programmes e.g. clinical practice examinations, written assessments, but will be expected to demonstrate flexibility to work across all areas and required to deliver the primary focus of the role which is to support the delivery of the medicine programme.Candidates should be educated to either 5 GCSEs or NVQ Level 2 in a relevant subject or possess equivalent experience.The ability to communicate through the medium of Welsh or demonstrate a commitment to learn to a specified level is essential for this post. The ability to use Welsh with confidence for some tasks is essential for this post – e.g. contribute to some bilingual meetings and write simple e mails in Welsh. The primary focus of the role is to support assessments within medicine programmes.Main Duties and Responsibilities

  • Under the supervision of the administrative lead undertake a variety of administration tasks as directed, across a range of locations based on operational requirements.
  • To be an active member of the administration function, building and maintaining good working relationships with other members of the team and the University in order to ensure an understanding of priorities and deadlines.
  • Contribute to the development of, and work to, agreed service standards for the team.
  • Respond to a range of information requests from both students and internal and external customers (in person, phone, e-mail) answering where able to do so and escalating on to the appropriate person(s) as and when necessary, in a professional manner.
  • Maintenance of electronic information systems including databases, virtual learning environments and handbooks.
  • Provide in person support for University scheduled assessments.
  • Support the administration of assessments including the arranging of venues, examiners, invigilators, staff, patients and actors, transport, catering and equipment.
  • Undertake the processing of a variety of tasks as directed and to agreed timescales; these are likely to be online high-volume transactions, or well-defined processes/procedures related to examinations and assessments.
  • Organise meetings, draft agendas, preparing papers, taking minutes, and circulating as appropriate.
  • Work as part of a team to support the wide-ranging administration of the medicine programme curriculum and assessments ensuring that core support services are maintained.
  • As part of the administration team supporting medicine, there is the expectation that you will participate in events that fall within the remit of the team, including but not restricted to assessments, graduation and recruitment and admissions events and that some of these events will involve working outside of normal working hours / days.

  • The post holder will be expected to participate in performance review and developmental activities.

Person SpecificationQualifications/TrainingEssential :

  • Educated to GCSE level (minimum of 5), NVQ level II in an appropriate subject e.g. Customer Service or Business Administration, or possess equivalent experience.

Desirable :

  • ECDL Qualification.

Experience/KnowledgeEssential :

  • Experience of working within an office / administrative environment.
  • Experience of dealing with queries and providing information to a variety of people.
  • Recognises when the limits of own authority or ability are reached and involves others as appropriate.
  • Proven ability to communicate effectively and professionally with a wide range of people.

Desirable :

  • An understanding of the internal and external factors that may impact on the service.
  • An understanding of the needs of culturally diverse staff and students.
  • A basic understanding of academic regulations and procedures.
  • Experience of planning and co-ordinating events.

Skills/AbilitiesEssential:

  • Contribution to decision making by providing relevant information and opinion.
  • Proficient in the use of Microsoft Office applications (Word, Excel, Teams etc).
  • Accurate data entry and attention to detail.
  • Excellent organisational skills and ability to handle a varied and demanding workload.

OtherEssential:

  • Provides appropriate advice, sympathetically and confidentially.
  • Deals with situations (involving external stakeholders, staff and/or students) according to policy and procedures.
