Major ObjectivesThe Chief of Staff provides “right-hand” support to the Head of Group Operations General Secretary and Chief Risk Officer in all her responsibilities.He/she ensures effective communication and execution of the decisions taken by the Head of Group Operations General Secretary and Chief Risk Officer, liaising with key stakeholders across the organization.Therefore, this role gives the successful applicant the opportunity to operate across two very different environments, with multiples and diverse challenges.Main activitiesThis Chief of Staff role will be diverse by its very nature and breadth and will provide the incumbent the opportunity to work on activities across the General Secretary Division.The successful applicant will be responsible for:· Preparing strategic communication for the Group CPO and Simplification Program Director;· Preparing key presentations to senior stakeholders including the Management Committee;· Helping assist the manager to deliver against the breadth of the role and hit key deadlines including engaging multiple senior stakeholders;· Planning, preparing and following-up on key calendar events and recurring meetings led by the manager (e.g. plenary sessions, team meetings, etc.)· Filtering and helping in prioritizing issues and requests, dealing with them where appropriate and/or redirecting them to team members as required;· Representing the General Secretary on some committees when needed and ensure follow-up;· Managing the budget of the departments and liaise with the accounting department.The Chief of Staff coordinates a complex and confidential information flow to facilitate decision making for the General Secretary.He/she is therefore required to maintain strict confidentiality regarding sensitive business and employee information.Results expectedThe Chief of Staff ensures coordination and management of specific projects and deliverables for all aspects of the role:· Document and resolve issues on timely basis, operating on the basis of a “no surprises” approach;· Prepare communication documents in time with key deadlines and to a satisfactory standard;· Smooth delivery of multifaceted topics in often very tight deadlines with many senior stakeholders;· Ensure confidentiality and discretion at all times when handling sensitive information.QualificationsExperience· 6 to 8 years work experience in a multicultural context, ideally in AXA Group or an international company (preferably Consulting services);· Skills in project management with a focus on action and delivery;Technical knowledge and professional experience· Knowledge and understanding of financial services, key players and main financial indicators;· Good business acumen: understanding of the strategic issues facing the Group, with a demonstrated ability to rapidly understand, assimilate, analyses and act on complex business issues;· Analytical and synthesizing skills, e.g. ability to draw conclusions and make recommendations;· Fully fluent in English (oral and written); French desirable but not mandatory;· Good practice of MS Office suite, in particular MS PowerPoint and Excel.Personal and behavioural skills· Capacity to develop strategic relationships with different stakeholders;· Being influential to ensure effective execution of decisions by other team members (even when there is no line of authority over them);· High degree of rigor and reliability, combining good analytical skills with the ability to summarize and select relevant information;· Good balance of EQ and IQ;· Excellent communication skills (written and oral), with the ability to document and present information in a concise and business-oriented manner (e.g. for senior management);· Ability to interact with a variety of different correspondents (in operating entities, within and outside the Group, etc.) in a multicultural context;· Ability to deal with high volume and highly complex workload;· Ability to prioritize and deal with conflicting priorities daily using discretion and professionalism at all times.
