Business Support Specialist with English, Central Services (fixed term contract)

About the role
This position focuses on processing Sales & Marketing requests mainly related to Healthcare Professional (HCP) activities and is dedicated to managing documentation, purchase orders, invoices, and payment processes. Acting as a central contact for designated countries’ Sales & Marketing teams, the role provides guidance while ensuring adherence to compliance standards. Within the Central team, the role supports our internal customers – the business and other functions by facilitating coordination, execution, and administrative tasks. By streamlining processes this position reduces the administrative burden on sales teams, always aligning with internal policies and procedures. The role has no or limited interactions with HCPs.
Your Responsibilities will include:
-Sales & Marketing request coordination
:
Process and manage Internal Request Forms (IRFs) for Healthcare Professional (HCP) interactions, events, and activities.
Facilitate internal documentation flow, including collecting required documentation and ensuring approval processes for sponsorships, grants, and donations are completed efficiently.
-Stakeholder communication
: Maintain close relationships and effective communication with key stakeholders, ensuring exceptional service aligned with compliance standards.
-Purchase order (PO) & invoice management
: Oversee PO management, including coordination of invoices and payment processes to ensure accuracy and timeliness.
-Knowledge database maintenance
: Maintain and update internal knowledge databases to ensure accuracy and accessibility of information.
-Reference contact for Sales & Marketing teams:
Act as a primary contact for assigned countries’ Sales & Marketing teams, providing information, resolving queries, and directing individuals to appropriate resources.
-Process flow oversight
: Ensure adherence to agreed deadlines and procedures across collaborating teams, fostering a streamlined workflow.
-Task and KPI management
Monitor and manage tasks to ensure agreed lead times and key performance indicators (KPIs) are met.
-Compliance and quality standards
Possess compliance standard operating procedures to meet and comply with quality requirements, regulatory and compliance commitments.
-Team support:
Provide guidance, support, and training to team members and collaborate with the Business Support team as needed.
-Documentation and procedure development
: Develop and refine internal documents and administrative procedures to improve operational efficiency
-Process improvement
Identify and propose process enhancements to improve team and organizational effectiveness.
What are we looking for in you?

-Experience in a similar role in Shared Services/BPO or in the administrative department is preferred
-Fluent English, additional language will be an asset
-Organizational and coordination skills: exceptional ability to prioritize effectively, and meet deadlines
-Strong attention to detail and accuracy in managing documents, processes, and timelines
-Communication and interpersonal skills: excellent written communication skills to interact effectively with diverse stakeholders.
-Process Management and Problem-Solving Skills: capable to manage complex workflows, identify areas for improvement and propose solutions (process improvement mindset)
-Teamwork and Collaboration : Flexibility to assist team members in achieving collective goals and KPIs.
-Microsoft Office (Outlook, PowerPoint, Word, Excel) knowledge & digital tools will be valued. Meeting and event, planning & organization, experience will be a plus.
