Function: Operations and Engineering

Reporting: Service Delivery Manager

Location: Sibiu, Romania

Role purpose

Join our Shared Service Center BAS team in a pivotal role focused on administrative tasks and collaboration with local Service Delivery teams. You will be instrumental in addressing supplier queries and urgent needs with Colt’s central finance team. This is an exciting opportunity within a growing team with a cross-functional and real estate stakeholder focus. Proficiency in German is essential for effective communication.

Key Accountabilities

-Creating Purchase Requisitions (PR’s), Purchase Orders (PO’s) and receipt material or services in line with corporate rules.
-Archiving and managing all the documentation with regards to local infrastructure (e.g. sub node contracts).
-Providing support and solve queries with suppliers and Colt’s central finance team on urgent payments, disputes, fines, registered letters.
-Building effective relationships with other team members and key stakeholders such as internal customers and suppliers.
-Initiating one-time payment – out of process invoicing.
-Supporting the process of supplier activation.
-Initiating and following-up on “Damage claims”.
-Creating a damage case by assembling all necessary information, sending out official communication towards the insurance companies, following up all non-closed damages cases (short-term/long-term) and taking this up with legal (internally/externally) if required.
-Following up the financial impact and renversements and make sure of the correct bookings of these.
-Dealing with legal and regulatory queries assisting and providing all necessary information in relation to these requests.
 

Role Specific Requirements

-Fluent in German and English (reading, speaking, listening and writing).
-Great team player and excellent social interaction skills are mandatory in this central and coordinating role.
-Good understanding of the basics of accounting
-Problem solved oriented, must be able to work under strict timelines with several priorities at the same time.
-Personal drive, highly self-motivated, structured and self-organised.
-Hands-on approach having ownership in every way and in reaction to various issues both known and unknown.
-It would be desirable:

-Experience working cross functionally with other teams and departments within a company.
-Experience liaising with different parties such as governments, financial departments, financial institutions, suppliers, landlords, property agencies, etc.
