Board Assistant

  • Schedule and coordinate meetings, appointments, and travel arrangements for the executive
  • Arrange travel itineraries, accommodations, and transportation for the executive
  • Prepare and manage travel expense reports
  • Prepare agendas, documents, and presentations for meetings
  • Take detailed meeting minutes and follow up on action items
  • Screen and direct phone calls and emails to the appropriate parties
  • Organize and maintain files, documents, and records, both physical and digital
  • Prepare and edit reports, presentations, and correspondence
  • Handle logistics, catering, and guest lists for events
  • Build and maintain positive relationships with clients, partners, and staff
  • Facilitate effective communication between the executive and other stakeholders
  • Identify and resolve administrative issues and challenges
  • Ensure compliance with company policies regarding privacy and data security
  • 4+ years of experience as an Executive Assistant or in a similar support role
  • Fluency in the English language (C1-C2)
  • Proficient in Microsoft Office Suite and other relevant software applications (HCL Notes, Concur)
  • Excellent time management and organizational skills
  • Ability to work in dynamic environment requiring flexibility and high level of stress resistance
  • Exceptional attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion and professionalism
  • Proactive and able to work independently, as well as part of a team
  • Strong problem-solving skills and ability to multitask effectively
  • Strong interpersonal skills and ability to build relationships at all levels of the organization
