Board Assistant

- Schedule and coordinate meetings, appointments, and travel arrangements for the executive
- Arrange travel itineraries, accommodations, and transportation for the executive
- Prepare and manage travel expense reports
- Prepare agendas, documents, and presentations for meetings
- Take detailed meeting minutes and follow up on action items
- Screen and direct phone calls and emails to the appropriate parties
- Organize and maintain files, documents, and records, both physical and digital
- Prepare and edit reports, presentations, and correspondence
- Handle logistics, catering, and guest lists for events
- Build and maintain positive relationships with clients, partners, and staff
- Facilitate effective communication between the executive and other stakeholders
- Identify and resolve administrative issues and challenges
- Ensure compliance with company policies regarding privacy and data security
- 4+ years of experience as an Executive Assistant or in a similar support role
- Fluency in the English language (C1-C2)
- Proficient in Microsoft Office Suite and other relevant software applications (HCL Notes, Concur)
- Excellent time management and organizational skills
- Ability to work in dynamic environment requiring flexibility and high level of stress resistance
- Exceptional attention to detail and accuracy
- Ability to handle sensitive and confidential information with discretion and professionalism
- Proactive and able to work independently, as well as part of a team
- Strong problem-solving skills and ability to multitask effectively
- Strong interpersonal skills and ability to build relationships at all levels of the organization
