By meeting this moment with Search, you join a powerful global peace movement that believes in the profound impact of courageous multipartiality – that all voices should be heard and respected in shaping a better, more connected world and collaborative vision is essential for lasting peace.Position SummaryThe Cross-Regional Programs team at Search for Common Ground (Search) is seeking a full-time Associate to support the implementation of the program , a global project focused on women, peace and security (WPS), implemented across eight countries (Cameroon, Central African Republic, Democratic Republic of Congo, Somalia, Central Asia, Guatemala, Lebanon and Yemen) – and including a global Rapid Response Fund (RRF) mechanism. The project provides specific funding and technical assistance to local women-led groups to grow and sustain local capacities for peacebuilding.The Programs team has oversight on the management of restricted grants to drive impact and ensure compliance. The Programs team supports in-country Directors and Managers to effectively follow Search and donor policies and procedures regarding grant implementation. This function commences with the signing of a grant and completes with the final close-out. This involves monitoring, reporting, and where appropriate, engagement with donors. It involves oversight on both program quality and compliance, working in close collaboration with other departments, including Finance, the Institutional Learning Team, Strategy Alignment, Program Quality, Communications, and Human Resources. The Programs team aims to build and strengthen the capacity of program implementation at Search and with partner staff in-country.We are seeking an experienced Associate, Programs, to provide grants management and programmatic support specifically to country implementation, alongside other critical tasks pertaining to the project. The key responsibilities of this position are outlined below.Key ResponsibilitiesGrants Management support (80%) * Support in conducting monthly check-in meetings and budget meetings with each country office.

  • Supports grants start up, grants close out and documents lessons learned in the course of implementation.
  • Supports report coordination, development and review.
  • Contribute to program implementation review, spending review, and forecasting.
  • Participate in and support regular programmatic reflection sessions and cross-learning meetings and workshops.
  • Supports partner management.

Learning and Communication support (20%) * Support in the collection, drafting and review of communications products.

  • Support in the collection and drafting of programmatic success stories.
  • Support in the internal coordination on WPS programmatic cross-learning and communication.
  • Support the Program Manager, Program Director and policy team to develop policy documents.

Contributions

  • Supports project teams in the preparation of timely and quality project reports for donors in compliance with donor and internal Search requirements.
  • Supports the utilization of grants management tools in tracking program expenditures and forecasting project activities and expenditure in line with the approved budget and the work plan for both Search and partners.
  • Participates in project start up, periodic project reviews, and project close-out processes, and ensures that these are documented, shared, and archived appropriately.
  • Participates in regular monthly budget versus actuals (BVA) review meetings, costed work plan review, management analysis of projections and circulates minutes and close follow-ups of action points.
  • Supports the Programs team in highlighting and documenting success stories and factsheets highlighting results of Search programming.
  • When called upon, works with country offices (finance and technical teams) and proposal managers to develop or support the development of budget and budget notes based on capacity/availability/skill level of country office staff.
  • Supports subaward processes by ensuring all required documents such as selection memos, background checks, capacity assessments are completed to facilitate final sign off.
  • May be called upon to participate in design calls and provide input in proposal and budget review for strategic proposals.
  • Deploys to country offices from time to time to provide technical and start up support based on need.
  • Performs any other related task that may be allocated by the Programs Manager.
  • Other duties that are broadly in line with the above key contributions as assigned.

Desired Qualifications

  • A degree in International Relations, Peace and Conflict Studies, Gender Studies, Political Science, or a related field.
  • 3 years of relevant work experience (1 year if with MA)
  • At least 1 year of experience in WPS programming and/or WPS policy.
  • At least 1 year of experience in grants management in an international context, across geographies.
  • Fluency in English and either French or Spanish written and spoken, is essential, and proficiency in additional languages is beneficial (Arabic, Russian).

€3,330 – €3,800 a monthContract duration and Salary RangeWe offer a 1-year contract (“contrat à durée déterminée”, CDD), renewable by 1 year upon satisfactory performance and budget availability.The salary range for this position would be between 3.330 – 3.800 EUR gross per month, based on relevant experience, with the following benefits: 22 days of annual leave, end-of-year office closure, double vacation pay, meal vouchers (Eur 7,- per worked day), life insurance, hospitalisation, dental and ambulatory health insurances, disability insurance, contribution to mobile phone use, transport allocation, home office allowance, contribution to private pension fund and end-of-year bonus.Only applicants invited for an interview will be contacted.Please note that we are unfortunately only able to consider applicants that currently hold the right to work in Belgium.Type and Nature of ContactsInteracts with others and handles problem situations with tact.
