From improving economic performance and creating jobs to fostering strong education and fighting international tax evasion, we provide a unique forum and knowledge hub for data and analysis, exchange of experiences, best-practice sharing, and advice on public policies and international standard-setting.Job DescriptionThe (TAD), in line with the strategic objectives of the Secretary-General, provides relevant and timely information, analysis and advice in support of governments’ efforts to improve the domestic and international performance of their trade, agriculture, food and fishery policies and to maintain the orderly use of export credits.TAD is looking for several assistants to provide administrative and organisational support within the Directorate. S/he will carry out a wide range of secretarial and administrative duties.Main ResponsibilitiesMeetings and missions

  • Organise official meetings, workshops and conferences, as well as high-level seminars and bilateral meetings and conference calls with country officials. This includes room reservations, preparation of participant lists, catering organisation, off site participation of participants with help from conference services, organising travel for external participants, secretarial support during the meetings.
  • Organise and prepare official missions for staff including travel arrangements and processing of expense claims; compilation of briefing files for the Head of Division and managers when necessary.
  • Maintain multiple level contacts and distribution lists in Outlook and organisation’s contact management system.

Publications and Documents

  • Provide assistance in the preparation of documents and reports for publication in both official languages (English and French) and in accordance with the OECD Style Guide. This includes formatting and proof-reading using standard OECD software and preparing documents for publication.
  • Help assemble input for briefings, presentations and reports.

Administration and Communication

  • Draft correspondence, invitation letters or notes, in both official languages for a wide range of stakeholders.
  • Establish and maintain effective record management, structured document retrieval and workflow management systems such as eShare.
  • Prepare contracts, recruitment requests and payment orders for invited experts and external consultants.

  • Carry out other tasks, as required.

QualificationsAcademic Background

  • Post-secondary education in a relevant field.

Professional Background

  • Relevant experience in administrative roles, preferably in an international organisation with experience in the organisation of large meetings both on site and abroad.
  • Excellent knowledge of the administrative rules and procedures of the Organisation, as well as of the procedures to be followed for the organisation of meetings and missions, or similar knowledge acquired in other international organisations, or proven ability to learn and assimilate new rules and procedures quickly and thoroughly.

Tools

  • Excellent knowledge and experience of the MS Office Suite including Microsoft Office Word, Excel, Outlook and PowerPoint.
  • Excellent knowledge of or ability to learn quickly, administrative software packages used in the Organisation or other international organisations, e.g., eShare, ONE Community spaces, Concur, EMS, SRM and ONE Author.

Contract Duration

  • 13-months fixed term appointment, with the possibility of renewal.
  • Depending on level of experience, monthly salary starts at 3,705.85 EUR, plus allowances based on eligibility, exempt of French income tax.
