Administrative Officer – humanitarian organization

Office Management:

  • Maintain cleanliness and organization of the office and meeting rooms.
  • Coordinate cleaning services, office supplies, and fire safety.
  • Oversee IT equipment and office infrastructure.

Travel, Visitor, and Event Management:

  • Arrange travel and accommodation for employees and guests.
  • Plan and coordinate events in collaboration with relevant departments.
  • Ensure cost-effective management of travel and event expenses.

Support for International Staff:

  • Manage relocation and accommodation in line with IFRC policies.
  • Monitor and extend lease agreements as needed.
  • Assist with immigration and legal processes.

Health and Security:

  • Act as the security focal point.
  • Provide security and health briefings for new employees.
  • Collaborate with local authorities and update emergency contact lists.

Supplier Management:

  • Oversee tenders and administrative service contracts.
  • Monitor contract cycles and ensure compliance with procurement procedures.
  • Work with the finance team to process payments and documentation.

Reporting:

  • Prepare reports on administrative costs, travel expenses, and contracts.
  • Track and manage service agreements with vendors.
  • Ensure service providers comply with contractual terms.

Administrative Team Support:

  • Assist the admin team during peak workload periods.
  • Collaborate with regional administration in Budapest.
  • 3 years relevant working experience in administration
  • Work experience with other international organisations
  • Strong communication skills
  • Fluency in written and spoken English
