Administrative coordinator with an academic background for a research center at DTU Chemical Engineering.We are looking for detail-oriented administrative coordinator for the Danish Polymer Center (DPC) at DTU’s Department of Chemical Engineering.The job
In the role of administrative coordinator, you will have a versatile everyday life with independent tasks and a large contact surface throughout the department and institute. It is therefore important that you are good at relationships, trust-building and good at communicating both in writing and speaking. Most of our work is done in English, so it is mandatory that you have excellent communication skills in English, both written and spoken.Our expectations of you
Your daily work will be wide-ranging and will involve both less practical everyday things, larger planning/coordinating tasks as well as many other diverse tasks that are handled at the institute.You will have a superuser role in relation to e.g. time recording, purchasing and settlement of expenses in DTU’s financial system Fusion. Previous knowledge of Fusion will be an advantage.Sometimes things go fast, and therefore it is important that you have a broad overview and can react to the tasks and needs that arise on an ongoing basis – you will find that no two days are the same.In addition, you must provide project management support to our associate professors/professors, so you must have the courage to develop yourself and to have many different balls in the air.As an academic and administrative coordinator at DPC, you must:

  • Have experience from the university world.
  • Be able to manage your portfolio of tasks independently.
  • Help the center manager and Faculty with the administration of projects. Therefore, it is a plus if you have a project manager course already.
  • Contribute to the coordination of the division’s day-to-day operations and management, including the handling of appointments and rejections, in collaboration with the project managers.
  • Support employees, guests, researchers from home and abroad in large and small ways.
  • Coordinate conferences/seminars/events.
  • Be responsible for non-catalog purchases, settlement of expenses.
  • Be a purchasing assistant and take the training for this.
  • Be structured and committed to the tasks and manage to prioritize them.
  • Be service minded, good at building relationships and feel comfortable being the “go-to”.
  • Be solution-oriented, good at creating structure and overview and implementing within agreed time frames.
  • Thrives with having many active parallel tasks.
  • Be good at communicating and expressing yourself both in writing and speaking – also in English.
  • Have good IT skills, be experienced in Microsoft Office and find it easy to familiarize yourself with DTU’s administrative IT systems.
