Duties:
- Support the Representative and Principal Partnerships Specialist in engagements with high-level audiences in Europe, including senior government officials, private sector, media and academia by managing calendars, coordinating internal and external meetings and preparing materials.
- Provide daily administrative, finance management services, and IT related support including preparation of correspondence and presentations in compliance with ADB’s standards.
- Coordinate travel arrangements for ERO staff, including preparation of travel requests, flights, accommodation, and submission of travel expense report.
- Provide support for outreach through different channels and using new formats including social media under the guidance of the ERO Communications team.
- Organize logistics for social events outreach activities and internal meetings.
- Maintenance and upgrading ERO contact databases including the creation and maintenance of a photo library.
- Coordinate with ADB staff on the application of routine procedures, guidelines, and formats following ADB Administrative Orders ang guidelines.
- Manage the inventory of office supplies, ensuring high stock levels to meet office needs and reorder items to avoid shortages.
- Take on and perform any other tasks as assigned by the Representative and Principal Partnerships Specialist.
Qualifications:
- Bachelor’s degree in business administration, communications, office administration, information technology or related fields or Secondary school certificate (Realschulabschluss) and vocational training as Office Administrator (Buerokauffrau/mann).
- At least 5 years relevant work experience in a similar administrative support role for an international organization.
- Proficient in the use of office applications for formatting documents, creating presentations and using digital collaboration tools.
- Excellent collaborative skills and team spirit working across different areas and cultures.
- Proficiency in English and German language.
- Familiar with operational and administrative procedures and understanding of interactions between different institutional work areas and workflows.
- Knowledge of international development organizations (e.g., multilateral development banks) and their diverse procedures (as they relate to secretarial work), and operations is desirable.
