Applications are invited for an Academic Support Officer (Research & Impact), which is a full-time permanent post working in the College of Arts, Humanities and Social Sciences. The post will provide effective administrative support for research, including postgraduate research students, and research impact activities within the College and its constituent Schools.Candidates should be educated to A level, NVQ level III (or equivalent) in an appropriate subject; have previous experience of working within an administrative environment and be proficient in the use of Microsoft Office applications (Word, Excel etc.). Good communication and organisation skills are required, as well as the ability to accurately enter data. Previous experience of working in Higher Education, particularly in an administrative role, would be an advantage.The successful candidate will be expected to commence as soon as reasonably possible.This role will be located on campus at Bangor. Through our Dynamic Working framework, there will also be the option to spend some time working remotely (although remaining in the UK) to support work life balance, which will be discussed further with candidates at interview.Applications will also be considered to carry out this role on a part-time or job share basis. The four schools bring together a range of subject areas into sustainable and cohesive structures to deliver the highest quality courses and research opportunities at both undergraduate and postgraduate level.The College is committed to supporting research, impact and engagement activities across the four Schools and also to the number of Research Centres within the College with the aim of raising research profiles, attracting grant funding and creating impact, so benefiting the local, national and international community.Purpose of the JobTo provide administrative support to the research and impact function across the College as well as to key role holders within the College (College and School Directors of Research and Postgraduate Research, and the College Ethics committees). To support a range of administrative activities associated with research, including postgraduate research students, research impact activities within the College and its constituent Schools.Main Duties and Responsibilities

  • Provide administrative support to the College Directors of Research Centres and Postgraduate Research in the conduct of their college roles, and support the School Directors of Research, Impact & Engagement.
  • Act as secretary to college and school level committees and meetings. Organising meetings, drafting agendas, preparing papers, taking minutes and circulating papers as appropriate.
  • Support the college ethics committee, by proof-reading ethics applications, confirming details, assigning reviewers and ensuring timely responses.
  • Arrange events such as postgraduate research student welcome/induction and PGR conferences, research away days.
  • Support the internal annual research review process.
  • Develop and maintain systems and databases for recording of information related to research, postgraduate research and research impact.
  • Work with Finance to support PIs to monitor project budgets;
  • Coordinate the recruitment of PGR research and admin assistants (resulting from external or internal seed funding), including advertising, conducting interviews, and processing contracts on iTrent and working with HR.
  • Line manage PGR admin assistants, research assistants, and interns.
  • Liaise with central services to ensure awareness of correct processes and procedures and advise staff as necessary.
  • Manage the study leave application process including taking minutes, recording study leave and monitoring reports.
  • Manage the seed funding application process including taking minutes, recording seed funding awards and monitoring reports.
  • Communicate effectively with both staff and students and maintain effective working relationships with colleagues within the University, and any external body.
  • Work across functional team boundaries as part of a larger College administrative team to ensure that core support services are maintained, particularly during holidays and absence and at peak times of activity.
  • Support PGR-related administrative activities devolved to the College.

  • The post holder will be expected to participate in performance review and developmental activities.

Person SpecificationQualifications/TrainingEssential

  • 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area or possess equivalent experience.

Desirable

  • NVQ level 4 in a relevant subject area.
  • A business administration or related qualification.

Experience/KnowledgeEssential

  • Experience of working within an office /administrative environment.
  • Proven proficiency in the use of Microsoft Office applications (Word, Excel etc).
  • Experience of organising meetings and minute taking.
  • Experience of using Teams and OneDrive.

Desirable

  • Experience of working within a Higher Education environment.
  • Experience of working with databases.
  • Experience of working in a similar administrative role.
  • Understanding of research and the research environment in Higher Education.
  • Understanding of postgraduate research student support.
  • Experience of providing administrative support to staff and/or students.
  • Experience of taking responsibility and making decisions at the appropriate level, coupled with the judgment to determine when consultation with others is required before a final decision can be made.
  • Knowledge of GDPR requirements and their application.

Skills/AbilitiesEssential

  • Good communication and inter-personal skills, with the ability to communicate effectively, both orally and in writing.
  • Able to communicate and develop effective relationships with colleagues at all levels of the University.
  • Excellent organisational skills and ability to handle a varied and demanding workload. • Accurate data entry and attention to detail.
  • Ability to be proactive and identify and recommend changes for improvement where appropriate.
  • Ability to work independently and demonstrate initiative.
  • Ability to manage workload, prioritise tasks and meet deadlines.

Desirable

  • Experience of developing and implementing administrative systems and procedures.
  • Experience of using standard university systems (Agresso, BangorBI, PowerBI)
  • The ability to communicate through the medium of Welsh is desirable for this role. If applicants are not able to speak / write in Welsh at present, there are many opportunities to learn if the successful candidate wishes to do so.
