Employment is based on a person’s professional qualifications and competence.Your Role:As an Academic Assistant at CEA CAPA Madrid, you will play a vital role in supporting the success of our study abroad programs during the Fall, Spring, and Summer semesters by providing essential academic administrative support. Your responsibilities will include managing academic-related communications, such as answering student and faculty emails, and serving as a liaison between CEA CAPA, partner institutions, and local faculty. You will assist in scheduling courses, managing the registration process, and ensuring students are enrolled in the correct classes.In addition to these tasks, you will coordinate faculty and course evaluations, gather student feedback, and track academic performance. You’ll help organize academic meetings, provide logistical support for faculty, and ensure that course materials and resources are distributed on time. The role also involves maintaining accurate academic records, updating student databases, and assisting with special academic projects or events, such as guest lectures, workshops, or research initiatives. This is a great opportunity to enhance your organizational skills while gaining valuable experience in the field of international education.What You’ll Do:
- Contribute to academic administration by supporting tasks such as:
- Preparing and updating syllabi in accordance with school of record templates and guidelines.
- Resolving faculty issues and ensuring smooth classroom operations, including technology management.
- Addressing student inquiries and assisting with complaints or academic difficulties.
- Provide training and support for faculty and students on CEA CAPA’s academic systems, troubleshooting any issues that arise with learning platforms.
- Manage academic data in CEA CAPA’s online academic records system, including tasks such as updating course offerings, class schedules, fees, and accounts.
- Oversee student course preferences, registration, add/drop processes, withdrawals, attendance tracking, and grading.
- Monitor student progress and meet with those exhibiting academic or attendance issues, offering guidance to ensure they successfully complete their program abroad.
- Facilitate regular faculty meetings to keep professors informed of policy updates, new systems, and expectations, encouraging open discussion and feedback.
- Maintain high academic standards by reinforcing rigorous expectations for both professors and students, ensuring quality education.
- Serve as the primary point of contact for all academic matters, providing guidance and support as needed.

- Fluency in spoken and written English & Spanish

- Previous experience working in Study Abroad & customer service

- Solid IT and organizational skills
- Knowledge of the city and its cultural/leisure offer
- Personal experience studying/living abroad
- Experience working in an international environment (with US college students preferred)
- Must be legally authorized to work in local country
