Sales Support Administrator Italy – CEVA Air & Ocean Italy S.P.A.

Join our dedicated Industrial Projects division as a Sales Support Administrator based in Milano/Pantigliate, Strada Vecchia Paullese. This role plays a vital part within the Project Logistics Product Development organisational unit, focusing on providing support specifically tailored for project logistics operations across Italy.

About the Role

As a Sales Support Administrator, you will be instrumental in enabling smooth and efficient logistics solutions for complex industrial projects. You will play a central role in enabling efficient handling of project opportunities throughout the bid‑to‑order and post‑order cycle. You will support the preparation of technical and commercial offers, manage customer and contract documentation, coordinate internal stakeholders, and ensure that systems and customer portals are kept accurate and up to date. You will work closely with Business Development, Product Development, Finance/WMS, QHSE, and the IP Europe Tender Desk

Key Responsibilities

  • Manage project customer qualifications, including portal registrations, document uploads, and ongoing maintenance of qualification status.
  • Provide support for customer contracts, including forwarding documents for signature (NDAs, Statements for Road Permits, Purchase Orders, Appendices, etc.), archiving documents, monitoring contract renewals, and handling related administrative activities.
  • Collect QHSE documentation required for on‑site works (e.g. offloading, skidding, handling operations) performed via sub‑contractors, ensuring compliance with internal standards and customer requirements.
  • Provide assistance to customers in the post‑order phase, including handling insurance claims, non‑conformities, and similar issues in coordination with internal departments.
  • Manage portal access administration, including password registrations, updates, and troubleshooting for customer platforms.
  • Oversee tender processes on customer portals: receiving and downloading tender packages, monitoring deadlines, uploading offers, and managing Q&A forums.
  • Support communications to project customers (e.g. marketing updates, news, and service information) in coordination with the BD and Product Development teams.
  • Assist in the preparation of technical and commercial offers in collaboration with the BD team, Product Development, and the IP Europe Tender Desk.
  • Provide C‑VIEW support, including updates on customers and business opportunities, ensuring data accuracy and availability for reporting and pipeline tracking.
  • Coordinate with internal stakeholders (Finance, QHSE, Operations, Legal) to gather inputs and documentation needed for bids, contracts, and customer requests.
  • Support WMS processes together with accounting/finance, including providing inputs for customer financial analysis, collecting documents for customer registrations, submitting WMS requests, following up on approvals, and updating customer master data
  • Coordinate with internal teams such as operations and finance to gather necessary data, ensuring accuracy and competitiveness in pricing strategies.
  • Maintain and update customer databases, manage documentation related to sales contracts, and ensure compliance with company policies and industry regulation.
  • Contribute to the continuous improvement of sales support processes by identifying bottlenecks and suggesting efficient solutions.
  • Provide administrative support including scheduling meetings, preparing presentations, and handling correspondence related to sales activities.
