Position Purpose

A Project Manager at TAIT is highly organised, and excellent communicator and adept at managing multiple tasks in a fast-paced environment.The position will primarily be dedicated to one singular project, however there may be times in which this individual will support additional projects within the producing function. The Project Manager will be a key member of the core Producing, Production, and Logistical team from TAIT. The role is pivotal, managing several internal staffing budgets. Additionally, the Project Manager will maintain the client production budget, continually revising and adjusting with the changing nature of a large-scale live event.

A successful candidate is a self-starter, working independently, and also working collaboratively within a team. They are an excellent with time management, ensuring the full project finance process is managed efficiently. They are an exceptional organizer – managing documentation and version control, and keeping links current for viewing by numerous stakeholders.

Responsibilities

  • Project Management

  • Successful delivery of Project Scope, Schedule, and Budget

  • Ensure that the Client’s vision is considered throughout the Project lifecycle.

  • Sustain Client and Customer satisfaction, exceeding expectations regularly.

  • Internal and external communication of Project status and progress

  • Management of final deliverables, ensuring TAIT quality throughout delivery.

  • Active Management of Project financials.

  • Problem solver with the ability to anticipate challenges & provide sound solutions.

  • Budget and Timeline Management

  • Create and manage budgets ranging from full scale development to pre-defined work to allowances.

  • Oversee timelines, deliverables and milestones as well as maintaining timely communications of these elements and their status to all stakeholders.

  • Plan cashflow schedule according to proposals and contracts.

  • Maintain payment schedule and invoicing.

  • Maintain ongoing Forecasts to track for deviations throughout Project lifecycle.

  • Monitor and control Project costs and Change Orders (Extras).

  • Raise early flags for potential risks as well as opportunities.

  • Provide periodic project status reports.

  • Commercial, Contractual & Legal

  • Understand the Project’s commercial terms as outlined in the contract, along with contractual & legal relationships formed between TAIT and the project client.

  • Act as a Client advocate within TAIT by ensuring the highest levels of Customer Service and sustaining the boutique experience that our Clients have come to expect.

  • Maintain a unique connection to our Clients, their teams, and their stakeholders

  • Ensure TAIT’s duties & responsibilities are properly executed. Ensure the client executes their duties correctly and, where necessary, ensure TAITs interests are protected.

  • Organisational Relationships & Participation

  • Develop and maintain good relationships with Project departments, clients and suppliers, internally and externally.

  • Proactive, open, and transparent communication.

  • Attend (and/or organize) regular check-in meetings.

  • Monitor team in identifying who should be “around the table” for strategic conversations.

  • Utilize relationships to resolve challenges, conflicts, or disputes within a Project or between competing Projects.

  • Attend global and regional “All Hands” and similar organization meetings and gatherings.

  • Stay up to date on time clocking, expense report submittals, and other administrative tasks.

  • Continuous Improvements

  • Identify opportunities for minor and major improvements in the Project Process.

  • Participate in departmental and organizational initiatives.

  • Ensure “Lessons Learned” discussions occur for Projects that warrant celebrations of positive outcomes and critical reflection of negative outcomes.

  • Education and Growth

  • Knowledgeable of TAIT’s history and capabilities, to represent the Enterprise brand and collaborate with Clients.

  • Actively seek opportunities to build new skills and hone or improve existing skills.

  • Focus on hard skills for tactical application and soft skills for interpersonal communication and effective leadership.

  • Participate in provided learning opportunities.

  • Stay abreast of industry trends, emerging technologies, and best practices to continuously enhance the quality, relevance, and competitiveness of our event offerings.

Position Requirements

  • Extensive experience in event production, preferably in live entertainment, corporate events, or experiential marketing.

  • Fully proficient in Epicor.

  • Fully proficient in Microsoft Office and Keynote.

  • Proficiency in communications and project management tools and software, such as Slack, Google Suite, Microsoft Office and AirTable.

  • Proficiency in budgeting and financial analysis, with a keen eye for detail, accuracy, and experience in maintaining profit margins.

  • Outstanding organisational skills & great attention to detail.

  • Working knowledge of technical production elements, including audio, lighting, video, rigging, and special effects.

  • Working knowledge of print process & materials, scenic construction & materials, video production, lighting, theatrical design, and live event production & traffic flow.

  • Flexibility to work irregular hours / non-traditional hours including evenings and weekends, and travel as required by event schedules.
