Within the Facilities team we manage the property, facilities and health & safety for all our colleagues, contractors, third party suppliers and clients on UCI premises.

As the Facilities Administrator, you will support the facilities team by providing outstanding customer service whilst ensuring the site is secure including access to the building and visitor management. You will also complete tasks to ensure smooth running of day-to-day operations and business as usual activities of the properties and to support keeping facilities maintained to a high standard of amenity and functionality. 

The role may carry out tasks via the Health and Safety Handbook in liaison with the Global Health and Safety SME in the deployment of Global Health and Safety Policy and as directed and guided by the Facilities Manager. You will assist in the collation and reporting of data for important programs such as ESG, Workplace Occupancy, Health and Safety, Workplace Design and Projects, and other programs, in liaison with the Global SME’s (Workplace Occupancy, Global Workplace Design, Global Health and Safety) and as directed and guided by the Facilities Manager. 

Lastly, it’s important to know that you will complete a number of receptionist tasks throughout the day for the overall Edinburgh location.

  • Liaison & coordination with business occupiers.
  • Manage facilities inbox or other ticketing system.
  • Access control admin & visitor management
  • Conduct inspections as assigned.
  • Car parking admin.
  • Manage vehicle fleet.
  • Admin of contractors, consultants, Landlords.
  • Purchase order & invoice admin.
  • Admin of H&S activities.
  • Admin of ESG data.
  • Fire warden duties.
  • First aid contact point.
  • Catering & event management support.
  • Cleaning duties.
  • Reception attendance, meet & greet at front desk, manage calls, and coordinate visitors.
  • Meeting room management & room set ups (which may require assistance from others).
  • Support business with VIP visits & events.

What will you bring to the role?

Essential:

  • General Corporate office environment business experience, preferably within Facilities
  • Previous experience as a receptionist is needed
  • Intermediate MS Office skills
  • Excellent oral and written communication skills

Preferred:

  • Experience in the Facilities Management field
  • First aid certificate.
  • Understanding of or qualification in health and safety.
  • Experience of administration of third party services.
