Job description
Coordination of Office Procedures:
- Efficiently coordinate workflows and administrative processes.
- Follow the organization’s policies and procedures.
- Maintain positive relationships with supervisors, colleagues, and clients.
Teamwork:
- Act as a member of the secretarial team and provide support during absences.
- Handle group calls and volunteer for extra work when available.
Confidentiality:
- Ensure the highest level of confidentiality for all client and organizational information.
Diary Management:
- Manage the daily schedules of attorneys, including meetings and travel arrangements.
Client Communication:
- Effectively communicate with clients via phone and email.
- Sort and process client emails and documents for attorneys in their absence.
Document Preparation:
- Draft and type correspondence, documents, and presentations from various sources.
- Ensure accuracy and clarity in final versions and timely completion.
Filing and Records:
- Use the organization’s computer systems effectively.
- Maintain both hard copy and electronic filing systems.
- Provide support with research.
Timekeeping:
- Enter attorneys’ timesheets into the system and meet monthly deadlines for final entries.
Billing Support:
- Assist with the billing process, coordinating with billing teams as needed.
Expense Reimbursement:
- Work with the accounts department to process reimbursements and payments.
Handover Notes:
- Maintain up-to-date handover notes for each designated attorney.
Other Duties:
- Responsible for additional secretarial and administrative tasks as requested.
