Process Coordinator Global Clinical Operations with Dutch
Location: Beerse, Belgium
Contract: Permanent, Full-time
This position is responsible for the end-to-end resourcing process within the Centralized Admin Network in Global Clinical Operations (GCO), which includes the design & set-up of new processes or enhancements.
This position oversees 1-supply management and activation of new hires in the GCO organization and is responsible for the data accuracy and flawless activation process. This position will report in the GCO Centralized Admin Network (CAN) and will have a crucial link with the Business Operation Leaders in GCO.
Responsibilities & the impact YOU will have:

Maintenance of 1-Supply:
-
Run Beacon reports (SAP supported) and analyze data for.
-
Accuracy of 1-Supply changes made by 1-Supply Admins
-
Cost Center (CC) data between 1-Supply & JJEDs, liaising with Finance to ensure correct CC are correctly assigned, follow-up & advise FM for any updates required.
-
Contract end dates, validate and delegate required changes to ensure smooth transition or start-up).
-
Unassigned Positions, validate start dates liaising with BOL to ensure start dates are realistic to assist with maintaining correct supply figures.

Leave of Absence (LOA) validate absences, liaise with FM when return dates are upcoming delegate required changes to 1-Supply & Beacon to ensure system & supply accuracy

Historical accuracy, liaising with BOL/Managers where required and arranging for changes to 1-Supply to be made where required.

Create and Maintain KPIs
-
Approval & Validation of requests submitted by Managers via CAN Portal & FRM Request to ensure data accuracy.

Active partner in defining database upgrade opportunities
-
Maintain system data and delegate required changes to 1-Supply Data Admin, to ensure system accuracy

Host Office Hours sessions and Refresher Trainings
-
Support Supply/Demand/Resource allocation data collation, reporting and visualization
-
Support the activation process for new hires and or contractors, including transfers from other departments or FLEX providers, including form completion, and equipment orders including liaising with country specific support. making sure training records are merged if applicable and Beacon time reporting is set up.

Support the deactivation process, terminations in systems, and equipment return.

Regular interactions with the Business Operations Leaders (BOL) in the GCO organization, to ensure flawless Supply figures & Data accuracy for GCO.

Collaborate with senior management to resolve 1-Supply & On/Off Boarding issues.

Be an active member of the Centralized Admin Network (CAN) for GCO by
-
Providing guidance, support and mentorship to other members in CAN and the broader admin community in GCO including sharing of best practices and harmonization of support (as needed). Identifying and implementing process improvements for resourcing processes.

SharePoint / other tools coordination
-
Creation of new complex cross-departmental SharePoint sites/Portals
-

Qualifications

Education:
- Bachelor Office Management or equivalent by experience
Experience and Skills:
Required:

A minimum 5 years of advanced administrative/secretarial experience is required.

Good written and oral communication skills in English and Dutch
