Our main activities are to identify, recognize and award community initiatives that address basic needs and collaborate with nature. By doing this, we give a voice to otherwise unknown and unheard heroes.We are seeking an experienced and highly organized Event Manager to plan, coordinate, and execute the WAFA Awards Event that will take place in June/July 2025. The Event Manager will work closely with the WAFA management team, supervising vendors, and internal teams to deliver exceptional experiences, ensuring every detail is managed efficiently from conception through to completion.Your responsibilities:Event Planning & Strategy:

  • Participate in the Steering Committee for WAFA to contribute to event strategy, decision-making, maintain timelines, priorities, and ensure alignment.
  • Collaborate with the marketing team to promote events and drive attendance.
  • Set, communicate, and maintain timelines, priorities, and ensure alignment with key stakeholders and the WAFA management team.

Budget & Resource Management:

  • Prepare and oversee event budgets, ensuring cost control and alignment with financial goals with all relevant stakeholders.

Vendor & Supplier Management:

  • Source, negotiate, and manage contracts with external vendors such as caterers, venues, booth designers, contractors, and equipment hire.
  • Source for media support and coverage for the event
  • Ensure VIP requirements are met in collaboration with the VIP and WAFA management teams.
  • Network for sponsor connections and work with the sponsor manager to deliver sponsor benefits and packages.

Logistics & Operations Coordination:

  • Take responsibility for coordinating all event logistics, including venue setup, plan room layouts (eg, round tables) with relevant managers, transportation, equipment, staffing and clearing of the venue post-event.
  • Organize and ensure compliance for security, first aid access, and ensure all health and safety obligations are met.

On-Site Event Management:

  • Supervise on-the-day event operations, including registration, setup, troubleshooting, execution, conduct staff briefings and ensure smooth operations throughout the event.
  • Establish and manage staff schedules and staffing requirements in cooperation with relevant managers.

Team Leadership & Collaboration:

  • Motivate and manage different team leaders and volunteers within the event team, ensuring clarity of roles and smooth teamwork.

Post-Event Evaluation:

  • Participate in post-event evaluations to analyze success and identify areas for improvement.
  • Oversee the preparation of detailed reports on key performance metrics, including attendee satisfaction and budget performance.

We expect you to:● Bachelor’s degree in Event Management, Marketing, Hospitality, or a related field (or equivalent experience).● 3-5 years of experience in event planning or management, preferably in corporate, hospitality, or agency settings.● Strong project management skills with the ability to manage multiple tasks and meet tight deadlines.● Excellent communication, negotiation, and interpersonal skills.● Ability to think creatively and problem-solve under pressure.● Strong attention to detail and organizational skills.● Flexibility to work weekends, evenings, or travel as required by event schedules, especially in weeks leading to the event.● Ability to stay calm and decisive under pressure in a fast-paced environment.● Be fluent in English writing and verbally.● Experience working with event marketing and social media promotion.● Knowledge of risk management, health and safety regulations.● Familiarity with hybrid or virtual event technologies.● Have availability of 8-12 hours per week minimum.It goes without saying that you enjoy working with people and are a team player, and that you are self-driven and well-organised.You will be working remotely and require access to a computer with fast internet connection.
