S/he will work as part of a dynamic and growing COE team (Center of Excellence) that supports the management and administration for the 200+ employees and consultants working in the IT Shared Services division group worldwide.This position will provide PMO (Project Management Office) and administrative support for the division and act as a key information hub to ensure the smooth initiation, execution, and reporting of all project activity in the IT Shared Services division.The ideal candidate will possess the following attributes:

  • Undergraduate Degree and relevant professional experience.
  • Good knowledge of the Microsoft Office tools, especially Excel and SharePoint.
  • Strong verbal and written communication skills.
  • Detail oriented, high level of accuracy and organization skills.
  • Positive, can-do attitude, ready to take on new challenges and take initiatives.
  • Knowledge of the project management tools and the collaboration tools like Jira or Confluence is a plus.

Responsibilities:

  • Analyze the project data (resources and costs) and take on the communication and action tracking through reports and meetings with the Development leads.
  • Coordinate/Facilitate regular staff meetings (agenda, invitations, opened items tracking).
  • Manage and track the backlog of the division initiatives (scrum master)
  • Help Maintain a resource inventory file and an organization chart for the IT Shared Services Division.
  • Build the Operations reports to track the projects statuses and forecasts.
  • Track the timesheet submissions and approvals. Ensure the department timesheets are completed and help maintain accurate forecasts and statuses using the project management tools.
  • Help organize events and trainings, maintain schedule.
  • Assists with project documentation flow and archiving (operations reports) on the ITSS SharePoint site.
  • Support the Dev Managers in the execution of their projects, the eventual preparation of presentations, research of relevant documentation.
  • Close interaction with his/her manager for the above activities.
